We provide exceptional ballet training and performances while creating an inclusive, supportive environment where students, artists, and families can thrive. Position Summary The Family & Program Services role creates a welcoming, organized, and supportive experience for New Ballet students, families, volunteers, and visiting artists. This position coordinates programs and services that connect families to the organization while supporting the operational needs of the School and professional Company. The ideal candidate is warm, highly organized, attentive to detail, and comfortable managing multiple projects in a busy performing arts environment. This is a collaborative, public-facing position requiring excellent communication, sound judgment, and a genuine interest in helping people. While our preference is to hire one person for the complete schedule and scope of responsibilities, we welcome candidates interested in a substantial portion of the position and may divide the hours and responsibilities among multiple employees if the right candidates emerge. Primary ResponsibilitiesFamily Communications and Support Provide responsive, welcoming support to New Ballet parents and students. Provide scheduled front desk coverage and general assistance to families. Help answer questions and connect families with the appropriate staff member when needed. Coordinate studio supplies and routine purchases. Help maintain a warm, organized, and professional lobby and front desk environment. Performance and Backstage Support Be present backstage for all theatre rehearsals and performances of The San José Nutcracker and New Ballet's spring production. Coordinate backstage volunteers and help ensure that students and families receive clear, timely information during theatre weeks. Support student check-in, backstage organization, family questions, and other performance-related needs. Work collaboratively with artistic, production, costume, and operations staff throughout rehearsals and performances. Team Coordination Coordinate and support the volunteers, interns, and student workers who assist with family programs and special events, including: Parent and boutique volunteers Saturday interns and Teaching Assistants assigned to lobby or entrance coverage Student volunteers assisting in the School lobby and at events Additional Responsibilities Depending on the candidate's experience, availability, and interests, the position may also include some or all of the following areas. New Ballet's preference is to hire one employee who can assume the complete scope of the role; however, we may divide these responsibilities among multiple employees if the right candidates emerge. The final schedule, scope of responsibilities, and hourly rate will be established based on the responsibilities assigned. Volunteer Program Recruit and coordinate parent volunteers for school programs, performances, and special events. Create volunteer schedules and communicate assignments and expectations. Coordinate backstage, boutique, lobby, costume shop and event volunteers. Create and manage Google Forms, sign-ups, and volunteer information. Ensure that volunteers feel prepared, appreciated, and connected to New Ballet's mission. Professional Company Auditions Coordinate audition communications, registration, and scheduling. Organize applicant information and audition materials. Provide timely, professional support to prospective dancers throughout the audition process. Assist with audition-day logistics and organization. Competition Program Coordinate competition registrations, deadlines, and required information. Manage family communications related to competitions. Coordinate music files, competition data entry, and related documentation. Work closely with New Ballet's competition coaches. Coordinate competition costumes and ensure that participating dancers have the necessary information and materials. Boutique Maintain boutique inventory, ordering, sales, and organization. Help ensure that the boutique operates efficiently and profitably. Coordinate branded apparel and merchandise in collaboration with the Director of Marketing and Strategy. Primary Collaborators This position works closely with New Ballet's Executive & Artistic Director and colleagues across School leadership, student services, competition team, and the costume shop. Qualifications Excellent organizational and time-management skills Strong written and verbal communication A warm, professional, and service-oriented approach Ability to manage multiple deadlines and maintain accurate records Strong attention to detail and follow-through Comfort working independently while collaborating across departments Proficiency with Google Workspace, including Google Docs, Sheets, Drive, Forms, and Gmail Ability to learn and use registration, scheduling, and point-of-sale systems Availability for some evening and weekend work connected to performances, competitions, auditions, and special events Experience in arts administration, education, customer service, event coordination, retail, hospitality or nonprofit work is preferred Familiarity with ballet or performing arts organizations is helpful but not required Most important, be detail oriented, ready to learn and excited to work with New Ballet students and families! Schedule and Compensation New Ballet requires approximately 20 hours of onsite coverage each week during the school year. Our preference is to hire one employee who can work the complete schedule, but we may divide the schedule and responsibilities among multiple employees if the right candidates emerge.
The complete school-year schedule is:
Three weekday evenings from 4:00-9:00 p.m., ideally Monday, Tuesday, and Friday Saturdays from 8:45 a.m.-1:30 p.m. Candidates interested in only a portion of this schedule or scope of responsibilities are encouraged to apply and should describe their availability and areas of interest in their cover letter. During summer programming, the complete schedule generally shifts to 10:00 a.m.- 4:00 p.m., four to five days per week. Summer work totals approximately 200 hours across the position, with the number of scheduled days varying according to the program calendar. If the position is divided, individual summer schedules will be established according to program needs and employee availability. Some summer weeks may have reduced or no scheduled hours. Extensive evening and weekend coverage is required during New Ballet's theatre weeks. For the upcoming season, the position must provide backstage coverage December 13-27 and May 18-23 for all scheduled theatre rehearsals and performances. If the role is divided, theatre-week responsibilities will be assigned among the employees hired. Theatre-week schedules will temporarily replace regular weekly schedules. Additional evening or weekend availability may occasionally be required for competitions, auditions, school programs, and special events, depending on the responsibilities assigned.
Compensation:
$24.00-$27.50 per hour, depending on the agreed scope of responsibilities and the candidate's experience. The full rate of $27.50 per hour is anticipated for a candidate assuming the complete scope of the role. Success in This Role Success means: Students and families feel welcomed, informed, and supported throughout their New Ballet experience. Competitions are organized, clearly communicated, and professionally managed. Professional Company auditions run efficiently and provide a positive experience for prospective dancers. Parent volunteers feel appreciated, prepared, and connected to New Ballet's mission. The boutique is organized, responsive to family needs, and profitable. The costume shop operates efficiently and remains well organized. Front desk operations create a warm and professional first impression for everyone entering New Ballet. Projects, registrations, schedules, and communications are completed accurately and on time.
