Job Description

Assistant Property ManagerPosition Summary The Assistant Property Manager supports the Property Management Department in the day-to-day management of properties and provides assistance to property owners, tenants, vendors, and department staff. This position requires strong communication, organization, attention to detail, and consistent follow-through. The Assistant Property Manager serves as an additional point of contact for owners and tenants, assists with leasing and property-related matters, and helps ensure department procedures, documentation, and deadlines are completed accurately and efficiently. Duties & Responsibilities Assist with new property management inquiries, follow-up, and onboarding. Assist with preparing, sending, and obtaining signatures on management agreements and required documents. Communicate professionally with property owners, tenants, prospective tenants, vendors, and agents. Assist with tenant concerns and property issues and escalate matters to the Property Management Department Manager when appropriate. Coordinate and follow up on maintenance requests and vendor services. Assist with preparing vacant and upcoming properties for marketing and leasing. Complete property walk-throughs and take photographs as needed. Assist with property marketing and ensure required marketing information and checklists are completed. Assist with lease preparation, lease signings, and lease renewals. Maintain accurate records and document communications and property activity. Track agent referrals and provide information needed for referral and commission payments. Maintain appropriate follow-up on outstanding documents, property issues, and assigned tasks. Work closely with Property Management Department staff to provide timely and professional service to owners and tenants. Perform other property management and administrative duties as assigned.
Requirements & Qualifications Required:
Must hold a current and active Illinois Real Estate Leasing or Broker License. Must have prior property management or real estate experience. Working knowledge of residential property management practices and procedures. Knowledge of Fair Housing requirements and applicable Illinois real estate laws and regulations. Understanding of lease agreements and property management agreements. Strong written and verbal communication skills. Excellent organization, attention to detail, and follow-through. Ability to manage multiple responsibilities and deadlines in a fast-paced environment. Strong customer service and problem-solving skills. Ability to accurately document communications and maintain organized records. Ability to work independently while also functioning effectively as part of a team. Professional judgment and ability to recognize when an issue should be escalated to management.
