General Description:
Under direction, the Assistant Records Manager assists in planning, organizing, directing, reviewing, and coordinating the Police Records unit. Essential Functions of the
Position:
Under the direction of the Records Manager, assists the Records Manager with department operations and the activities and quality control of the Records staff; helps to enforce department policies and procedures; assists in establishing training protocol and coaching employees to improve performance and conduct; assists in selection of applicants for employment or promotion; advises Records Manager on discipline or other necessary changes to personnel status; may participate in meetings in which policy questions are reviewed or discussed; may participate in personnel and labor activities; may conduct training and team building activities; responsible for ensuring the proper inventory of supplies, materials, and equipment are maintained. Assists in training and updating staff on records and RMS; quality control and assurance checks for the records and patrol units on various databases; Assists in training all police personnel on RMS; serves as Assistant Department Terminal Agency Coordinator for Ohio Law Enforcement Data System and CJIS. Responsible for facilitating and overseeing public records requests in compliance with Ohio Public Records Law including but not limited to public records requests involving electronic or digital records, reports, and documents; Responsible for digital media organization, preparation and storage, as well as distribution and correspondence with the appropriate prosecuting attorney and the public for records request involving the same in compliance with Ohio Public Records Law. prepares routine or standard correspondence; makes criminal history checks in compliance with LEADS and CJIS; prepares and files court paperwork as needed; Train in preparation and distribution of various statistical reports and forms (NIBRS, monthly crime analysis, specialized reports, etc.); ensures record retention is in compliance with records retention policies; performs LEADS validations; communicates and assists in establishing and maintaining policies and procedures between the Tallmadge Police Department Records unit and the Summit Emergency Communications Center (including but not limited to LEADS entries and removals, validations, RMS functions, communication and security protocols etc.) Organization and custodial assistance in the maintenance of sealed adult records and sealed/expunged juvenile records; Organization and custodial assistance in the maintenance of business contacts and keyholder information in RMS and mobile databases; orders office supplies and arranges Records related office equipment repairs; compiles, scans and emails media reports when requested; greets visitors or callers and addresses their inquiries or directs them to the appropriate persons according to their needs as required; performs all records clerk duties when required. Attends meetings and serves on committees, as required; attends various meetings, seminars, and workshops. Meets all job safety requirements and all applicable OSHA safety standards that pertain to essential functions. Demonstrates regular and predictable attendance. Performs other duties as assigned. Qualifications
QUALIFICATIONS
An example of acceptable qualifications: Bachelor's Degree from an accredited college or university with major course work in Public Administration, Business Administration, Law Enforcement, or related discipline and one (1) year of recent documented work experience in the administration of digital or paper records or creation, receipt, maintenance, use, and disposal of records or related activities; or any equivalent combination of education, experience, and training which provides the required knowledge, skills, and abilities. This position requires a high degree of confidentiality.
LICENSURE OR CERTIFICATION REQUIREMENTS
Must be commissioned as a notary public in Ohio or obtain the required commission within six (6) months of appointment. Must be sworn in as Deputy Clerk of courts with area municipal courts within six (6) months of employment. Must have LEADS basic operator training completed within the first month of employment as well as the training and certification for Assistant Terminal Agency Coordinator (ATAC).

Pay:
$21.73 - $28.79 per hour Expected hours: 40.0 per week
