Position Summary The Administrative Associate provides administrative scheduling, client service, and operational support to help ensure smooth daily operations of the firm. This role serves as a key support resource for the Managing Partner, business development activities, client communications, and new client onboarding. The ideal candidate is highly organized, detail-oriented, professional, and capable of managing multiple priorities while delivering exceptional internal and external client service. Key Responsibilities Scheduling & Business Development Support
- Coordinate and schedule meetings for new business opportunities involving the Managing Partner, Partners, and CPAs.
- Manage calendar of Managing Partner including scheduling logistics for client meetings.
- Support lead qualification activities by gathering and organizing information received from marketing and referral sources.
- Prepare and assemble prospect proposals using information gathered during exploration and discovery meetings. Administrative Support
- Provide administrative support to the Managing Partner.
- Draft and send professional correspondence, client proposals, and other communications on behalf of management as directed.
- Maintain organized electronic files and records.
- Handle confidential information with professionalism and discretion. Client Service Support
- Respond to routine client requests and inquiries in a timely and professional manner.
- Assist with client communications and follow-up activities.
- Support service initiatives such as annual client satisfaction surveys and related communications.
- Provide exceptional client service and support positive client relationships. New Client Onboarding Support
- Assist the Client Relations Manager with new client onboarding activities.
- Prepare client records, establish electronic folders, and complete onboarding administrative tasks as directed.
- Coordinate documentation and information required for new client setup.
- Ensure onboarding procedures are completed accurately and timely. Reception & Office Support
- Serve as backup support for reception and incoming phone lines.
- Provide phone coverage during designated periods and as needed.
- Greeting visitors and assist with general office inquiries as needed.
- Provide additional administrative support for firm staff and departments as business needs as required. Seasonal Support
- Assist with document scanning, electronic file organization, and related administrative projects during peak processing periods.
- Support tax season and other seasonal workflow need, as assigned.
- Perform additional administrative duties and special projects, as assigned. Skills

Qualifications Education & Experience Associates degree preferred, or equivalent combination of education and experience. Minimum 2 years of administrative, executive assistant, client service, or office support experience preferred. Experience in professional service, accounting, financial, or legal environment is a plus. Knowledge, Skills & Abilities Excellent organizational and time-management skills.
