Sales Executive Assistant Position Summary We are seeking a highly organized, dependable, and proactive Sales Executive Assistant to provide day-to-day administrative support to our sales organization and sales leadership. This position will be responsible for managing email communications, maintaining schedules, coordinating meetings and travel, and keeping customer and opportunity information current in Salesforce. The ideal candidate will be comfortable working independently, using good judgment, and learning the priorities of the sales associate. A key part of this role will be helping manage the flow of information so that important customer requests and sales opportunities receive timely attention while routine correspondence and administrative items are handled without unnecessary involvement from sales leadership. Key Responsibilities Email & Client Communication
- Monitor and organize incoming sales-related emails.
- Identify and prioritize emails that require direct attention or response from sales leadership.
- Draft and send routine email responses to customers, vendors, and internal personnel.
- Prepare draft responses for more important or sensitive communications for review before sending.
- File, categorize, and organize emails to maintain a clean and manageable inbox.
- Follow up on outstanding emails, requests, and action items.
- Help ensure customer communications receive timely responses.
- Learn to distinguish between routine matters that can be handled independently and issues that should be escalated. Calendar & Schedule Management
- Manage calendars and daily schedules.
- Schedule and coordinate customer meetings, internal meetings, calls, and appointments.
- Resolve scheduling conflicts and help prioritize meetings based on urgency and importance.
- Send meeting invitations and coordinate attendees.
- Maintain awareness of upcoming meetings, deadlines, customer commitments, and follow-up items.
- Provide reminders and help prepare necessary information ahead of important meetings. Travel Coordination
- Coordinate business travel, including flights, hotels, rental vehicles, and other transportation.
- Prepare and maintain travel itineraries.
- Coordinate travel schedules around customer meetings and other business commitments.
- Assist with changes or cancellations when travel plans change. Salesforce / CRM Administration
- Maintain accurate and current information in Salesforce.
- Enter and update customer information, contacts, opportunities, project information, and sales activities.
- Update opportunity stages, expected close dates, values, notes, and follow-up items as directed.
- Enter relevant information from emails, meetings, and customer communications into Salesforce.
- Help ensure sales opportunities and customer records do not become outdated.
- Assist with basic Salesforce reports, opportunity lists, and follow-up tracking.
- Identify missing or incomplete information and work with the sales team to keep records accurate. Sales Administrative Support
- Maintain customer contact information and sales-related files.
- Track follow-up items and help ensure commitments are completed.
- Assist with preparation and organization of customer meetings.
- Coordinate internally with estimating, engineering, operations, and other departments when necessary.
- Assist with proposals, customer documents, presentations, and other sales materials as needed.
- Perform additional administrative tasks supporting the sales team. Qualifications
- Strong written and verbal communication skills.
- Professional and comfortable communicating directly with customers.
- Excellent organization and time-management skills.
- Strong attention to detail.
- Ability to prioritize multiple tasks and recognize urgent matters.
- Good judgment regarding when to handle an issue independently and when to escalate it.
- Comfortable working with confidential or sensitive business information.
- Proficiency with Microsoft Outlook, Word, Excel, and calendar management.
- Experience with Salesforce or another CRM system preferred.
- Previous administrative, executive assistant, sales support, or customer service experience preferred.
What Success Looks Like The person in this position should make the sales team more efficient by reducing the amount of time sales leadership spends on routine administrative work. A successful Sales Executive Assistant will develop an understanding of customers, projects, and priorities well enough to:
- Keep the inbox organized and important communications visible.
- Handle routine customer correspondence without requiring constant direction.
- Make sure important emails and customer requests do not get overlooked.
- Keep calendars and travel organized with minimal oversight.
- Maintain accurate and up-to-date Salesforce records.
- Track open items and proactively remind the appropriate people when follow-up is needed.
- Allow sales leadership to spend more time selling, developing customer relationships, and pursuing opportunities rather than managing administrative tasks.

Pay:
$25.00 - $30.00 per hour
