The organization works closely with customers and global teams to support equipment sales, order management, and field service operations. Position Summary The Sales Administration Coordinator supports the Sales & Field Service organization by managing customer orders, delivery schedules, reporting, forecasting data, contracts, and sales administration. This role requires strong customer communication, attention to detail, and the ability to independently manage multiple time-sensitive priorities. Key Responsibilities Build and maintain strong relationships with customer contacts and internal teams. Confirm customer orders, delivery schedules, product specifications, and pricing. Process and maintain order information, purchases, lead times, terms, deliveries, and expedites using QuickBooks and MRP systems. Coordinate order rescheduling with Operations and communicate updates to customers. Prepare reports on open orders, backlog, critical orders, customer activity, and sales. Support quarterly forecasting using historical sales, current revenue, backlog, and related data. Provide project status updates and concise reports to Sales leadership. Track demo/evaluation equipment, documentation, customer qualification periods, and returns. Maintain product cross-reference information, including new products, revisions, obsolescence, and pricing changes. Maintain current customer contracts and agreements. Respond to customer requests by phone and email and occasionally support customers onsite.
Qualifications Required:
Bachelor's degree or equivalent experience, or 2+ years of relevant semiconductor capital equipment industry experience . Strong written and verbal English communication skills. Experience with relationship-based sales and key-account approaches in the semiconductor industry. Strong customer service and interpersonal skills. Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook. Ability to manage multiple deadlines and work independently with minimal supervision. Ability to work onsite.
Preferred:
Japanese language ability. Experience with semiconductor equipment sales administration, order management, or sales operations. QuickBooks and/or MRP system experience. Experience with forecasting, backlog reporting, and customer order analysis. Other Details Reports to the Director of Sales & Field Service .
