Job Description
Colette's Catering & Events is seeking an organized, hospitality-minded Sales Coordinator to support our Director of Sales and Sales Managers throughout the sales and event lifecycle. This is a junior-level sales position with a strong administrative focus and an opportunity to develop toward a future Sales Manager role. The Sales Coordinator will assist with lead management, client communication, proposals, event documentation, scheduling, venue coordination, and operational handoffs. Based on experience and demonstrated readiness, this position may also serve as a Day-of Coordinator for selected events. Key Responsibilities Respond to incoming inquiries, collect preliminary event information, maintain lead records, and route opportunities to the appropriate Sales Manager. Provide administrative support, including calendar management, client files, correspondence, reporting, and sales materials. Prepare proposals, estimates, menus, contracts, presentations, and other documents using approved pricing and templates. Coordinate client follow-up, tastings, site visits, walkthroughs, detail meetings, and rehearsals. Maintain accurate event information, including guest counts, menus, dietary needs, rentals, timelines, floor plans, venue requirements, payments, and deadlines. Prepare and update BEOs, change orders, function sheets, and supporting documents for Sales Manager review. Track missing information and outstanding decisions and support a complete handoff to Operations, Culinary, Warehouse, Accounting, venues, and vendors. Maintain venue and vendor records and communicate routine information under the direction of the assigned Sales Manager. Participate in Sales meetings, BEO reviews, tastings, and client meetings. Escalate pricing exceptions, contract revisions, credits, client concerns, and commitments requiring management approval. When assigned as Day-of Coordinator, support event timelines, vendor arrivals, key transitions, client communication, and event flow in partnership with the Event Captain and culinary leadership. Protect confidential client, contract, pricing, payment, employee, and company information. Technology Requirements Proficiency with Microsoft Office and Google Workspace, including email, calendars, documents, spreadsheets, presentations, and shared drives. Experience with CRM, catering, hospitality, or event-management software preferred; experience with Elecate or a comparable platform is a plus. Experience with workforce scheduling systems such as Nowsta and event-diagramming or floor-plan software is preferred. Ability to maintain organized electronic files, perform accurate data entry, manage document versions, and learn new systems quickly. Working spreadsheet skills, including formatting, sorting, filtering, and basic formulas. Qualifications High school diploma or equivalent required; college coursework or a degree in hospitality, event management, business, marketing, or a related field preferred. Previous experience in catering, hospitality, events, sales support, customer service, or office administration preferred. Strong written and verbal communication skills. Excellent organization, accuracy, follow-through, and ability to manage competing deadlines. Professional, gracious, and solutions-oriented approach to clients and coworkers. Ability to work independently within assigned authority and collaborate across departments. Availability for assigned evening, weekend, or holiday events. Ability to travel locally to company facilities, venues, and event locations. Physical and Work Environment Requirements The position regularly requires computer and telephone use, sitting, standing, walking, reaching, and communicating verbally and in writing. Event assignments may require extended standing or walking, navigating indoor and outdoor spaces, climbing stairs, bending, and occasionally lifting or moving items weighing up to 25 pounds.
