SUMMARY:
The Client Success Coordinator plays a key role in supporting the estimating and sales process by reviewing plans, creating takeoffs, researching material costs, reviewing RFP requirements, and maintaining accurate pricing documentation to ensure efficient and profitable proposals. This role also provides essential administrative support to the sales and client success teams by preparing project handoff materials, maintaining CRM accuracy, and assisting with delegated tasks. Additionally, the Client Success Administrator serves as the first point of contact for new leads, delivering a positive initial experience while qualifying prospects and coordinating next steps in the sales process.
RESPONSIBILITIES
1. (50%) Supports the preparation of estimates by creating takeoffs and researching pricing for all materials.

This work includes but is not limited to:
  • Reviewing RFP documents to determine requirements and scope of work;
  • Building takeoffs for demolition, drainage, utilities, hardscape, irrigation, planting, and lighting;
  • Soliciting quotes and documenting all pricing and vendor information to ensure efficiency of procurement when bid is accepted by client;
  • Updating final estimate documents with appropriate estimates based on pricing guidelines. 2. (10%) Coordinates all information necessary to build the submittals for contracted work. This work may include but is not limited to:
  • Reviewing plans to identify all materials included on the project;
  • Identifying any holes in the plans and coordinating with the proper consultants to fill the holes;
  • Building documents that communicate to the client and designers all materials included and necessary for approval;
  • Identifying and including lead times for all materials. 3. (35%) Serves as administrative support for Business Development Specialist and Client Success Specialist. This work may include but is not limited to:
  • Preparing packets for handoff of projects to Operations team;
  • Identifying permits needed and including information in.
  • Completing assignments and tasks delegated from others;
  • Distributing prospect packets for the Business Development Specialist;
  • Ensuring accurate updates to the CRM, providing analysis information to sales team. 4. (5%) Serves as initial point of contact for new leads. This work may include but is not limited to:
  • Answering incoming lead calls and ensuring a positive client experience;
  • Qualifying leads through appropriate questions;
  • Scheduling Client Success Rep and/or Creation Design Rep for initial sales meeting with new leads;
  • Documenting information gathered from the initial call with a qualified lead.
QUALIFICATIONS
The following education, skills and experience are required for this role:
  • 3 years of related experience in supporting estimating processes in a related industry;
  • Experience handling multiple priorities and deadlines in a fast-paced environment;
  • Proficient technology and software skills;
  • Excellent interpersonal communication skills, spoken and written, internally and externally;
  • Strong organizational skills.
SALARY/BENEFITS
$70,000
  • 80,000 D.
O.E.
Bonus:
Up to 10% of Salary, based on company profit goal minimums and performance 401K
  • 4% Match, After 12 mo.
Health Insurance:
50% or up to $200 of employee premium, After 60 days Company Phone
  • Lost or broken, replaced by employee 10 Days, Paid Time Off (Accrue one extra day per year, up to 15 days), After 90 days 3

SCHEDULE
Average of 45 Hour Work Week, In Office Monday-Friday, Occasional Weekend Time off requests made 4 weeks in advance (busy seasons may not allow for time off requests to be granted)
