Pay:
$55,000=$60,000 per year DOE Seal Masters of Hawaii and Elite Construction Services are seeking a personable, highly organized Sales Administrator to serve as the first point of contact for our Sales Team. This position plays a key role in the client experience, from the first phone call through the scheduled site visit, and keeps our estimators focused on what they do best. This role is ideal for someone who enjoys talking with people, thrives in a fast-paced office, and takes pride in getting the details right. The right person will bring strong judgment, a customer-service mindset, and the follow-through to keep leads, calendars, and correspondence moving. About Seal Masters of Hawaii Seal Masters of Hawaii has been a trusted leader in exterior building renovations since 1986. We specialize in restoring and protecting mid- and high-rise buildings across the state, with services including concrete repair, waterproofing, painting, sealant replacement, railing replacement, window and door replacement, and more. Our team is committed to integrity, safety, and delivering high-quality solutions designed for Hawaiʻi's unique environment. The Role The Sales Administrator handles inbound calls, qualifies leads, schedules site visits, and manages sales correspondence, while supporting the Sales Coordinator and sales team with proposals, records, and the weekly sales meeting. The ideal candidate is personable, detail-oriented, and leaves every caller with a great impression of the company. Key Responsibilities Lead Intake & Qualification Serve as the first point of contact for inbound sales calls, gathering key project details (building, management company, scope, urgency, and client history) and requesting reference photos. Qualify leads against company services and project thresholds, then route them to the right estimator. Enter and maintain leads in Buildertrend and internal tracking systems. Respond professionally to leads that may not be a fit and flag them for internal review. Site Visit Scheduling Schedule site visits with estimators per company guidelines, including calendar invites and email confirmations. Confirm parking and access details with clients before each visit. Sales Correspondence Manage and route inbound Sales Team email, drafting responses on behalf of estimators and the Director of Sales as needed. Keep all client communication professional, timely, and on brand. Sales Support & Administration Build the weekly sales meeting slides with the Sales Coordinator and Director of Sales. Prepare, format, and track proposals and sales documents. Maintain accurate sales records, metrics, and reports. Coordinate calendars and gather materials for client meetings and presentations. Qualifications 2+ years in an administrative, receptionist, sales support, or customer service role; construction or professional services experience preferred. Comfortable handling a high volume of calls and asking the right questions. Experience with a CRM or project management platform (Buildertrend preferred) and Microsoft Office. High school diploma or equivalent required; associate's or bachelor's degree preferred. Skills & Competencies Strong verbal communication and active listening. Sound judgment when qualifying and routing leads. Highly organized, detail-oriented, and accurate with data entry. Polished, customer-focused, and collaborative.
