The Inside Sales Administrator / Sales Support Coordinator serves as a critical link between customers, outside sales representatives, account managers, and internal operations teams across Illinois and Wisconsin. This role is focused on providing day-to-day sales support while actively contributing to business development through outbound prospecting, lead generation, opportunity research, relationship building, and appointment scheduling. The Inside Sales Administrator / Sales Support Coordinator works closely with the sales team and internal departments to ensure customers receive responsive, professional service and opportunities are effectively managed from initial contact through follow-up. This position is ideal for an organized, motivated, and customer-focused individual who enjoys building relationships, asking questions, uncovering opportunities, and taking ownership in a fast-paced environment. This position is based in our Aurora, IL Service office .
Key Responsibilities:
Provide day-to-day administrative support for the sales team. Assist with proposal preparation, quotations, and customer documentation. Manage sales activity tracking and reporting within CRM systems. Coordinate appointments, meetings, and follow-up activities for account managers. Support customer onboarding and account setup processes. Maintain organized customer records, contact information, and sales documentation. Conduct outbound prospecting and cold calls to potential customers both in Illinois and Wisconsin. Identify decision-makers and business opportunities within target markets. Qualify prospects and gather key information regarding facility needs and service opportunities. Follow up on marketing campaigns, referrals, and inbound inquiries. Assist in follow ups for any open proposals or project opportunities. Develop and maintain prospect lists using company-provided resources and databases. Serve as a professional first point of contact for customers and prospects. Assist with customer retention initiatives and relationship-building efforts. Support account managers in maintaining regular contact with existing clients. Enter, update, and maintain accurate CRM records. Generate reports on prospecting activities, appointments set, pipeline activity, and sales initiatives. Monitor key performance indicators and provide regular updates to leadership. Maintain confidentiality of customer and company information. Assist with presentation preparation, marketing materials, and customer communications. Support customer events, campaigns, and outreach initiatives. Research target accounts and identify new business opportunities. Work closely with account managers, inside sales administrators, service coordinators, dispatch, and operations personnel. Contribute ideas that improve efficiency, customer experience, and sales performance. Support special projects and additional duties as assigned.
Requirements:
High school diploma or equivalent. Experience in sales support, customer service, inside sales, administration, or related experience. Strong verbal and written communication skills. Comfortable making outbound cold calls. Excellent organizational and time-management skills. Ability to manage multiple priorities in a fast-paced environment. Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint). Professional, positive, and customer-focused attitude. Experience in HVAC, mechanical service, construction, building services, or facility maintenance industries.(Preferred) Familiarity with CRM software and sales tracking tools.(Preferred) Experience with lead generation platforms or resources.(Preferred) Understanding of commercial service agreements and maintenance programs.(Preferred)

$45,000
  • 55,000 annually.
