This position combines customer service and inside sales support with order processing and invoicing. A major part of your day will involve reviewing and entering customer purchase orders, processing online orders, preparing invoices, and making sure orders are accurate from the time they are received through final shipment and billing. You will also communicate directly with customers by phone and email, prepare quotations, provide order and shipment updates, answer routine product and availability questions, and work with our sales, production, and shipping teams to keep customer orders moving. We are an established, owner-run small business supplying temperature, position, and other sensor products to industrial, aerospace, automotive, motorsports, and other technical markets. You do not need an engineering or technical background. What is more important is that you enjoy working with customers, are comfortable working with detailed order information, and take pride in getting things right. We currently use Sage 50 Accounting for order entry and invoicing and may transition to QuickBooks in the future. Previous experience with Sage 50, QuickBooks, or similar accounting/order-entry software would be especially valuable. This is not a commission-based or cold-calling sales position. It is primarily an inside sales, customer service, and order-processing role supporting existing customers and incoming sales opportunities, with some shipping and fulfillment responsibilities as needed. Key Responsibilities Customer Service & Sales Support Serve as a first point of contact for customers by phone and email. Respond professionally and promptly to general customer inquiries. Assist customers with order status, availability, lead times, shipment tracking, and other routine questions. Develop a working knowledge of our products so that basic questions can be answered directly and more technical inquiries can be routed to the appropriate person. Assist the Sales Manager and other team members with preparing and sending customer quotations. Follow up internally on open customer questions, orders, and commitments to help ensure nothing is overlooked. Maintain accurate customer and order information within company systems. Order Processing & Coordination Enter and process customer purchase orders and online orders accurately and efficiently using our accounting/order-entry system. Review purchase orders for pricing, quantities, part numbers, shipping instructions, payment terms, and other important requirements. Identify discrepancies or unusual requirements and bring them to the appropriate team member's attention before an order is processed. Follow established procedures from order entry through shipment and final invoicing. Coordinate with sales, production, purchasing, and shipping personnel as necessary to keep orders moving. Monitor open orders and proactively follow up on items approaching their required shipment dates. Review open items regularly to prevent orders, customer requests, or administrative tasks from becoming backlogged. Shipping & Fulfillment Prepare and coordinate domestic and international shipments. Verify part numbers, quantities, customer information, shipping methods, and documentation before orders are released. Prepare packing slips, shipping labels, commercial invoices, and other required shipping documentation. Track shipments and assist customers with delivery-status questions. Work with shipping carriers and designated freight providers when necessary. Maintain appropriate inventory levels of boxes, packaging materials, labels, and other shipping supplies. Assist with receiving, packaging, labeling, and other fulfillment activities as needed. Quality & Administrative Support Perform final administrative and fulfillment checks to help ensure customers receive the correct products and documentation. Assist with the Return Merchandise Authorization (RMA) process, including tracking returned products and communicating status internally and with customers. Help create, document, review, and improve Standard Operating Procedures (SOPs). Maintain organized electronic and physical records. Assist with periodic inventory reviews and help ensure website inventory information remains accurate. Help identify recurring errors or inefficiencies and suggest practical improvements to established processes. General Support Assist with light product assembly, packaging, labeling, or other hands-on tasks when needed. Provide backup support to other team members during vacations, absences, or periods of high workload. Perform other related duties as needed. Qualifications & Skills Previous experience in customer service, sales support, order processing, fulfillment, shipping, or a similar administrative role. Strong verbal and written communication skills with professional phone and email etiquette. Excellent attention to detail and the ability to recognize discrepancies in part numbers, quantities, pricing, addresses, and order instructions. Strong organizational skills and the ability to manage multiple open tasks and customer requests at the same time. Comfortable working with purchase orders, quotations, invoices, and other business documents. Basic understanding of domestic shipping; experience with international shipping is a plus. Comfortable learning technical and industrial products. An engineering or technical background is not required, but an interest in learning how products work is important. Ability to follow established procedures while also using good judgment when something falls outside the normal process. Comfortable working in a small-business environment where responsibilities may overlap and priorities can change throughout the day. Proficiency with Microsoft Outlook, Word, and Excel. Experience with Sage 50 Accounting is a strong plus. Experience with QuickBooks is also highly desirable, as we may transition accounting/order-entry systems in the future. Experience with CRM, ERP, order-management, or e-commerce systems is a plus. Comfortable performing occasional light physical assembly, packaging, and fulfillment work.
Pay:
$48,000.00 - $52,000.00 per year
