Project Estimator and Inside Sales Specialist

Summary The Project Estimator / Inside Sales Specialist is responsible for preparing accurate project quotations, interpreting architectural drawings and specifications, performing material takeoffs, and supporting customers throughout the quoting and order process. This role serves as a key point of contact for contractors, distributors, architects, industrial customers, and the outside sales team by providing technical estimating support, pricing coordination, product guidance, and responsive customer service. The ideal candidate has experience reviewing project plans and specifications, managing multiple priorities in a fast-paced environment, and communicating effectively across customers, sales, engineering, and operations teams. Strong attention to detail, estimating accuracy, urgency, and follow-through are critical to success in this role. The Project Estimator / Inside Sales Specialist works closely with Sales, Production, Engineering, and Operations to ensure project requirements, specifications, lead times, and pricing are accurate and aligned with operational capabilities. Flexibility to occasionally support business needs outside normal business hours may be required. Essential Duties and Responsibilities include the following. Others may be assigned. Estimating & Quotation Management Prepare accurate and timely quotations for customers, distributors, contractors, and sales partners Review and interpret architectural drawings, bid packages, specifications, and construction documents to prepare project estimates and quotations Perform material takeoffs from project drawings and technical documentation Analyze project scope, material requirements, freight considerations, and application requirements Identify missing information, specification conflicts, or clarification needs during the estimating process Coordinate with Engineering, Production, and Operations to validate project feasibility, pricing accuracy, and delivery expectations Maintain quote records, revisions, and supporting documentation within CRM and ERP systems Follow up on open quotations and assist in moving opportunities through the sales process Customer & Sales Support Respond promptly to customer inquiries regarding products, pricing, applications, lead times, and project requirements Support outside sales representatives with estimating, project coordination, and customer communication Assist customers in identifying appropriate product solutions based on project applications and specifications Coordinate sample requests, order support, and sales-related documentation Support resolution of customer concerns and escalate issues when appropriate Order & Project Coordination Assist with order entry accuracy and coordination of customer requirements Review customer purchase orders against quoted specifications and pricing Coordinate with internal departments to support on-time delivery and customer expectations Communicate project updates, lead times, and order status to customers and internal stakeholders Support project tracking and workflow coordination for active customer opportunities Systems & Documentation Maintain accurate customer, project, quote, and order information within Salesforce and ERP systems Ensure documentation and communication records are complete and organized Support reporting and tracking of quotation activity, sales opportunities, and project status Assist with maintaining product, pricing, and customer information accuracy Cross-Functional Collaboration Work closely with Sales, Engineering, Production, Shipping, and Customer Service teams to support operational alignment and customer satisfaction Communicate customer requirements and project expectations clearly to internal teams Support continuous improvement of estimating, quoting, and sales support processes Performance Metrics Quote accuracy and turnaround time Accuracy of material takeoffs and project interpretation Conversion rate of quotations to orders Customer responsiveness and follow-up timeliness Accuracy of pricing, specifications, and documentation CRM and ERP data accuracy and maintenance Customer satisfaction and issue resolution effectiveness Support of sales growth and project coordination efforts Timely communication and operational follow-through What Makes Someone Successful in This Role Strong sense of urgency and responsiveness Ability to balance technical accuracy with customer service Ability to manage multiple quotes, projects, and priorities simultaneously Strong communication and organizational skills Effective collaboration across Sales, Engineering, Operations, and Production teams Proactive follow-through and accountability Strong problem-solving and detail orientation Commitment to customer satisfaction and operational excellence Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Education / Experience
