Job Description

SUMMARY OF POSITION
The Customer Service & Inside Sales Coordinator is responsible for supporting daily sales activity, handling incoming customer inquiries, coordinating front office and visitor interactions, and helping ensure a professional customer experience from first contact through order support. This role serves as a key point of contact for customers, truck drivers, contractors, vendors, and walk-in visitors. In the aggregate industry, this position requires strong communication, attention to detail, and the ability to work in a fast-paced environment involving quoting, order entry, dispatch support, product knowledge, and customer service. The right person must be organized, professional, and comfortable balancing sales support with front office coordination.
PRIMARY DUTIES AND RESPONSIBILITIES
Inside Sales Support Answer inbound phone calls and emails from customers regarding aggregate materials, pricing, availability, delivery options, and general service questions. Take detailed messages regarding material/project needs for Outside Sales or Manager. Prepare and follow up on quotes for materials, trucking, and related services. Enter orders accurately into company systems and coordinate with dispatch, operations, and sales staff. Assist customers with product selection based on project needs, application, and availability. Maintain customer records, pricing information, and sales activity logs. Support outside sales staff with administrative tasks, quote preparation, and account follow-up. Help resolve customer issues related to orders, deliveries, billing questions, or service concerns. Communicate clearly with customers regarding lead times, material supply, trucking schedules, and changes in availability. Cold call potential new customers in the Landscape Supply sector, and follow-up with existing customers on current or future needs. Guest Experience / Front Office Coordination Greet all customers, vendors, drivers, and guests in a professional and welcoming manner. Manage the front desk, lobby, and general office presentation. Direct visitors and phone calls to the appropriate departments or personnel. Provide a high-quality first impression of the company through professional communication and responsiveness. Assist walk-in customers with order inquiries, tickets, payments, and general information. Coordinate office hospitality for guests, meetings, and customer visits as needed. Help maintain organized filing, office supplies, and general administrative support functions. Ensure that the sidewalk is cleared and salted during winter months, prioritizing visitor safety. Required Qualifications High school diploma or equivalent required. 2+ years of experience in customer service, inside sales, administrative support, or front desk coordination preferred. Experience in construction materials, aggregates, trucking, manufacturing, logistics, or a related industry preferred but not required. Strong verbal and written communication skills. Strong organizational skills and attention to detail. Ability to manage multiple tasks and priorities at the same time. Professional demeanor with strong interpersonal skills. Proficient in Microsoft Office, especially Outlook, Word, and Excel. Ability to learn company software for order entry, dispatch, ticketing, and customer management. Dependable, punctual, and self-motivated. Comfortable working in an environment with frequent phone calls, interruptions, and changing priorities Preferred Qualifications (Can teach if individual has sales background) Familiarity with aggregate products, common material types, and trucking terminology. Experience with ERP, dispatch, or sales/order management systems. Experience handling customer quotes, pricing, and service issue resolution.
Physical / Work
Environment Requirements Primarily office-based role. Must be able to sit, stand, walk, and use standard office equipment for extended periods. May occasionally be exposed to dust, noise, and traffic common to aggregate, trucking, or plant environments when interacting with site operations.
Pay:
$22.00 - $24.00 per hour
