Job Description
Position OverviewThe sales coordinator provides vital support to the Sales and Operations teams, ensuring seamless communication, accurate record-keeping, and outstanding service focused on golf and wellness groups. This role helps coordinate every detailwhether its tee times for a tournament or scheduling a wellness retreatto create smooth, memorable experiences.
Maintain and update group records, contracts, and databases.
Prepare and distribute correspondence, itineraries, reports, and event-related documents.
Group RelationsServe as a key point of contact for golf and wellness groups, providing prompt, professional communication.
Coordinate schedules, meetings, and group communications with internal departments.
Assist in resolving guest concerns, escalating to sales or operations leadership when appropriate.
Event & Group CoordinationSupport the planning and execution of golf tournaments, group outings, wellness retreats, and specialty weekends.
Coordinate logistics such as tee times, spa services, fitness or wellness activities, F&B functions, and special requests.
Prepare event materials including itineraries, signage, scorecards, wellness schedules, or banquet event orders.
Documentation & ReportingMaintain accurate records of group contracts, payments, and communications.
Prepare weekly and monthly reports on group sales activity, guest feedback, and upcoming events.
Assist in updating policies, procedures, and tools related to group sales and operations.
Team SupportCollaborate with Golf, Spa/Wellness, Sales, Food & Beverage, and Reservations to ensure seamless delivery of group experiences.
Provide administrative assistance for special projects, sales initiatives, and seasonal programs.
Jump in where needed to support both golf and wellness group success across the resort.
Job RequirementsExcellent communication and interpersonal skills with a guest-focused mindset.
Strong organizational and time-management abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).Detail-oriented with the ability to handle sensitive information with discretion.
Problem-solving skills and adaptability in a fast-paced environment.
Education & ExperienceHigh school diploma or equivalent; associate or bachelors degree preferred.
Previous experience in administrative support, customer service, or hospitality.
Familiarity with golf, spa, or wellness programs in a resort setting is a strong plus.#GVL
