Job Description

Summary We are seeking a detail-oriented and customer-focused Service Operations / Customer Service Representative to support our manufacturing operations. This role serves as a key liaison between customers, production, and internal teams to ensure accurate order processing, timely communication, and effective issue resolution. Responsibilities include managing customer inquiries, coordinating service and order-related activities, and supporting the delivery of products in accordance with quality, delivery, and performance standards. The ideal candidate will have strong communication skills, a solid understanding of manufacturing workflows, and a commitment to operational excellence and customer satisfaction.
Specific Duties and Responsibilities:
Execution of Order Entry
  • Receiving customer Purchase Orders
  • Checking accuracy of POs against quotes
  • Double checking pricing & lead times
  • Entering orders in ERP system
  • Confirming order internally and with customers
  • Processing quotes for new & recurring parts.
Execution of Return Material Authorization (RMAs) Working with Production and /or Engineering to authorize the return of damage or defective product Issue RMA documentation for customer Coordinate with proper parties for completion of evaluation and costing Work with sales department personnel to determine pricing Issue quotations for repair work Handle order entry duties, as stated above, when customer confirms repair work quote Offering repair kits for units before issuing RMA form. Customer Relations Management duties Entering various data regarding all sales related activities into CRM software (Syteline/ACT) Generating weekly, monthly and quarterly reports for sales department's operational use and for Senior Management's analytical use Regular communication to customers of order status or changes on open orders Follow up with customers on quotes & pending POs. Miscellaneous duties
  • Handle a wide assortment of sales support activities for major existing customer programs and new product development business (proposal work)
  • Occasional preparation of slide decks using PowerPoint to communicate important milestone information to customers (external and internal)
  • Answering customer calls regarding new and existing orders/quotes
  • Working with Accounting to set up new customers in S10 and getting approval on terms.
  • Additional tasks as needed
Education and Experience:
  • Self‐Starter
  • Capable of solving complex problems and meeting customer commitments
  • Turn around quotes & orders within 24hrs
  • Multi-Tasking
  • Self-Organized
  • Attention to detail (need to be able to handle processing ~20 quotes and ~15 orders weekly)
  • Technical experience a plus
Education and Experience:
  • BS in Business or 5 years equivalent experience
  • CRM and ERP experience a plus
Job Type:

$20.00 - $26.00 per hour
