Jovial Events & Rentals | Part-Time Position Summary Jovial Events & Rentals is seeking a responsive, organized, and sales-minded coordinator to help turn event inquiries into paid bookings. The coordinator's primary responsibility is to promptly respond to prospective clients, recommend the right services, follow up consistently, and collect signed contracts and retainers. The role also handles the essential administrative work required to move confirmed events into production without missing information. This is a part-time, hourly position starting with limited weekly hours. Additional hours may become available as the position generates consistent booking revenue. Compensation and Schedule

- Approximately 6-8 hours per week
- Initial evaluation period:
- 60 days
- Work is primarily remote, with scheduled availability during designated client-response periods.
- Additional hours may be approved based on business needs, performance, and collected booking revenue.
- The position may include a booking bonus for eligible new events personally managed and closed by the coordinator. Bonus terms will be provided separately in writing. The coordinator may not work beyond the approved weekly hours without advance authorization. Primary Responsibilities Inquiry Response and Sales
- Monitor assigned inquiry channels, including HoneyBook, email, phone, text, and social media.
- Respond to new inquiries promptly during scheduled working hours.
- Review the information already provided before requesting additional details.
- Ask focused questions about the event date, location, setup window, guest count, desired services, colors, style, and budget.
- Recommend appropriate Jovial Events services, packages, and relevant upgrades.
- Explain the booking process, payment requirements, and next steps clearly.
- Prepare and send proposals, contracts, invoices, and payment links using approved pricing and templates.
- Follow up consistently with prospective clients until they book, decline, or request a later follow-up.
- Contact older qualified leads and open quotes that have not received a final response. Booking and Payment Follow-Up
- Secure signed contracts and required retainers before considering an event booked.
- Follow up on unpaid invoices, upcoming balances, and missing booking documents.
- Notify the owner promptly of payment problems, pricing exceptions, client complaints, or unusual requests.
- Document all communication, promises, payment arrangements, and next steps.
- Never offer unapproved discounts, refunds, credits, or payment terms. Booking Administration
- Keep HoneyBook project stages, contact information, notes, and follow-up dates current.
- Enter confirmed events into the appropriate calendar, delivery sheet, or production tracker.
- Collect all information needed for production and delivery, including:
- Venue name and complete address
- Event and setup times
- Venue access instructions
- On-site contact information
- Services and quantities ordered
- Balloon colors and design selections
- Delivery, setup, breakdown, and pickup requirements
- Final payment status
- Identify missing or conflicting information before handing the event to the production team.
- Provide a complete and accurate internal handoff for each confirmed booking.
- Complete lower-priority administrative assignments only after current inquiries, follow-ups, contracts, and payments have been addressed.
Weekly Priorities Work should generally be completed in this order: 1. Respond to new inquiries. 2. Follow up with warm leads and open proposals. 3. Collect contracts and retainers. 4. Follow up on balances due. 5. Complete confirmed-event records and production handoffs. 6. Complete approved administrative cleanup or reporting. Performance Expectations Success in this role will be measured by:
- Percentage of new inquiries receiving a timely response
- Number of qualified leads followed up each week
- Accuracy and consistency of lead records
- Number and value of new bookings
- Amount of client payments collected
- Inquiry-to-booking conversion rate
- Completeness of confirmed-event handoffs
- Ability to remain within approved working hours
- Professional and helpful client communication Every active inquiry should have a documented status, next action, and follow-up date. Qualifications
- Experience in sales, customer service, events, hospitality, or administrative support
- Strong written and verbal communication skills
- Comfortable discussing pricing, asking for the booking, and following up about payment
- Highly organized and able to manage multiple inquiries and deadlines
- Able to communicate warmly without being passive or overly pushy
- Comfortable learning and using HoneyBook, Google Workspace, spreadsheets, calendars, and messaging platforms
- Reliable, responsive, detail-oriented, and able to work independently
- Willing to follow established pricing, sales, and booking procedures
- Event or balloon-decor experience is helpful but not required Decision-Making Authority The coordinator may:
- Recommend approved packages and upgrades
- Prepare proposals using established pricing
- Send approved contracts, invoices, payment links, and follow-up messages
- Update client and event records Owner approval is required for:
