Full-Time, Non-Exempt About MARS Builder Solutions MARS Builder Solutions partners with residential homebuilders to deliver high-quality roofing and solar solutions for new construction communities. Our team is committed to providing exceptional service, reliable project execution, and long-term value to our builder partners. We are seeking a highly organized Sales Operations Specialist to support our growing Sales team by coordinating the administrative and operational activities that move projects from bid opportunity through completion. This role is ideal for someone who enjoys working in a collaborative environment, managing multiple priorities, and helping deliver an outstanding customer experience. Position Summary The Sales Operations Specialist plays a critical role in supporting the sales process by coordinating bid opportunities, maintaining project documentation, managing CRM and ERP records, and ensuring contracts and warranties are processed accurately and efficiently. This position works closely with Sales, Estimating, Compliance, and Operations to help deliver a seamless experience for our builder partners. Essential Responsibilities Receive, review, and process incoming bid invitations and opportunities from builder partners. Create and maintain organized project folders for each bid opportunity. Maintain accurate sales opportunity records within the CRM, including activity tracking, follow-up reminders, and pipeline reporting. Coordinate with the Estimating team to ensure bid deadlines and builder timelines are met. Prepare, distribute, and track customer contracts through the signature process. Partner with the Compliance team to ensure all required project documentation is complete and submitted. Create and maintain project records within the ERP system. Register manufacturer warranties and coordinate warranty documentation upon project completion. Provide administrative and operational support to the Sales team. Maintain accurate records while delivering exceptional customer service to both internal and external stakeholders. Qualifications Two (2) or more years of experience in sales operations, project coordination, administrative support, or a related role. Strong organizational skills with exceptional attention to detail. Excellent written and verbal communication skills. Ability to manage multiple priorities and meet deadlines in a fast-paced environment. Proficiency with Microsoft Office, including Outlook, Excel, and Word. Experience using CRM and ERP systems preferred. Experience in roofing, construction, residential homebuilding, or a related industry is strongly preferred. Familiarity with bid processes, contracts, construction documentation, or estimating software is a plus. Physical Requirements Ability to remain seated and work at a computer for extended periods. Occasional travel to builder offices, jobsites, or company locations as needed. Ability to occasionally lift and carry office materials weighing up to 20 pounds. Schedule Full-time Monday through Friday Occasional evening or weekend work may be required based on business needs. Compensation $25-$34 per hour Compensation is based on experience, qualifications, and overall fit for the role.
