The Sample Coordinator is a critical link between Production, Technical Design, Marketing, and cross-functional teams. This role is responsible for the end-to-end management of commercial product samples at Tea Collection—including ordering, tracking, organizing, and distributing all samples. This position requires a highly organized and proactive individual with a keen eye for detail, strong communication skills, and the ability to multitask in a fast-paced environment. Core Responsibilities Sample Ordering & Tracking- Create, send, and maintain seasonal sample orders with agents and factories
- Track and follow up on all sample requests and shipments; ensure timely delivery and receipt of goods
- Maintain sample tracker logs and ensure status accuracy
- Maintain and communicate sample calendars for key dates including line reviews, photoshoots, wholesale sales meetings, etc. Receiving & Distribution
- Sign in, inventory, and store all commercial samples
- Receive, log, and distribute all incoming sample packages—including cut tickets, tech samples, and fit samples—to Product, Marketing, PDP, and Photo Retouching teams, and manage all outbound sample shipments
- Receive undelivered Tea returns to Tea HQ and send out ongoing boxes to warehouse
- Receive, notify via Slack and distribute Strike Offs/TOP samples.
- Coordinate with courier services when needed to ensure samples are received and distributed efficiently
- Prepare and ship samples as needed for Wholesale, Marketing, and photo-related purposes Sample Room & Library Management
- Physically organize and maintain the sample room, ensuring efficient storage and easy retrieval
- Maintain the marketing sample library and develop a digital library for the marketing and creative teams to reference
- Lead preparation for weekly Rack Review Meeting, leveraging the APS tracker to sort samples based on weekly performance
- Assist in sample preparation for key weekly and quarterly meetings (ie rack review, TOP sample review, hindsight, etc); leveraging excel sales documents and collaboration with product team members
- Lead in boxing up samples once they have hit their full life cycle and can be put away for Sample Sale Cross-Functional Collaboration
- Manage the full lifecycle of commercial product samples, including development, sales, TOP, marketing, and wholesale needs
- Attend and participate in weekly production meetings to ensure alignment of sample delivery timelines Photoshoots & Tradeshows
- Coordinate and pack samples for studio and destination photoshoots; track against pagination and shot lists, flagging any gaps
- Manage Carnet creation where needed for destination photoshoots
- Coordinate samples and assets for tradeshows (e.g. Playtime) and showrooms, including ordering and shipping signage, lookbooks, and display materials
- Steam, prep, organize samples and go-backs for photoshoots
Requirements/Qualifications:
- Bachelor's degree preferred
- Physically able to perform job duties that include moving and organizing sample bins, boxes, and racks, and lifting and carrying items weighing up to 50 lbs on a regular basis
- Exceptional attention to detail, organization skills, and affinity for order
- Excellent written and verbal communication skills
- Excellent time management skills; self-sufficient and able to adapt as needed
- Exceptional at creating and maintaining calendars and tracking documents
- Creative problem-solver
- Prior sample coordination, production, or retail experience preferred
- Flexible work schedule to meet the workflow of scheduled sample delivery dates
- Exceptional skills in Excel and shared Google Docs
- On site 20-24 hours per week, dependent on business needs Compensation - $22/hour
