We are seeking a talented School Based Initiatives Program Assistant to join our team of nearly 500 employees. The Program Assistant position supports school-based initiatives by ensuring efficient daily operations, accurate data management, and high-quality service delivery. This role serves as a key point of contact for program inquiries and referrals, provides administrative and operational support, and helps maintain organized systems, resources, and compliance standards. The position also collaborates with leadership, internal teams and community partners. CCSI is partnering with Onondaga County Children and Family Services to hire a School Based Initiatives Program Assistant . This position is employed by CCSI and working on behalf of Onondaga County Children and Family Services.
SPECIFIC RESPONSIBILITIES INCLUDE
Oversee daily office operations to ensure efficient systems, workflows, and administrative processes. Support interdepartmental teams to promote consistent implementation of agency objectives across all service areas. Process referrals, enter and maintain accurate data into program databases, and prepare reports for monitoring and evaluation. Serve as a primary point of contact for referrals and program-related inquiries, providing timely, professional and accurate information. Maintain organized files, records, and documentation in compliance with program and agency standards. Coordinate logistics for meetings, training sessions (including HSLC), onboarding, and program events, including scheduling, registration, and preparation of materials and equipment. Track and manage program inventory, supplies, equipment, and resource utilization. Collaborate with IT to address technical needs, basic equipment set up, and troubleshooting. Coordinate interpreter services and track associated documentation in preparation for billing. Build and maintain strong working relationships with internal teams and community partners. Perform additional duties as assigned to support organizational goals.
REQUIRED COMPETENCIES
Excellent Customer service and communication (verbal and written) skills. High level of interpersonal skills. Strong organizational, multitasking and time management skills. Take initiative to be resourceful and solve problems both independently and with a team. Proficiency in data entry, reporting, technology and office management software. Detail oriented. Collaborative mindset and commitment to teamwork with diverse teams and community partners. Ability to maintain effective professional relationships with internal and external partners. Trauma informed and culturally responsive to population being served in development, design, monitoring, evaluation and/or implementation of programs and services.
EDUCATION AND EXPERIENCE
Minimum Associate's degree and 3 years of Office Manager experience, or equivalent education and work experience (see CCSI's equivalency chart). Experience with data management and administrative systems.
ADDITIONAL REQUIREMENTS
Completion of required background checks: Criminal, Statewide Central Registry and Department of Motor vehicles. Valid NYS driver's license in accordance with HCI motor vehicle policy.
