Overview:
The Asset Data Collection & Documentation Specialist will play a key role in supporting asset management, lab relocations, and compliance initiatives at the role. This is a dynamic, hands-on position that requires extensive engagement with diverse stakeholders and frequent movement among multiple buildings and lab environments. The successful candidate will be detail-oriented, organized, and proactive, bringing excellent communication and collaboration skills to drive projects forward.
Key Responsibilities:
Asset Data Collection:
Gather and catalog equipment and asset details in partnership with Lab Managers, Researchers, Asset Owners, and other team members, ensuring information is accurate and complete for entry into the new Computerized Maintenance Management System (CMMS). Travel regularly between laboratories and facilities across three locations to conduct on-site data collection and follow-up.
Asset Tagging:
Assist in the creation, assignment, and physical attachment of asset tags; ensure tags are accurately matched to CMMS records.
Cross-Functional Collaboration:
Work closely with Environmental Health & Safety (EHS) to gather safety documentation for assets and procedures. Partner with the Cybersecurity team to ensure assets are appropriately categorized for information security compliance. Collaborate with Finance to ensure correct asset categorization (e.g., CAPEX, P&E) for financial purposes. Coordinate with Facilities & Maintenance teams for asset tracking and support of lab move activities.
Documentation Management:
Collect, organize, and ensure proper routing of safety documentation, Work Instructions, Standard Operating Procedures (SOPs), and other materials, ensuring all documentation is uploaded and logged in the Document Management System (DMS).
Proactive Stakeholder Engagement:
Cultivate relationships and communicate professionally with individuals at all levels, including senior leaders, to obtain information and support project progress. Provide regular status updates and escalate issues as needed, while maintaining a solutions-oriented mindset. Support for

Assist with asset monitoring and reconciliation tasks as part of lab move preparation and execution.
Qualifications:
Experience with asset management, inventory data collection, or laboratory/facility support preferred. Strong organizational skills and attention to detail. Excellent communication and interpersonal skills, including the ability to effectively and assertively engage with a variety of stakeholder groups, including senior leadership. Demonstrated ability to work independently, manage multiple priorities, and proactively follow up with colleagues to accomplish objectives. Experience working with EHS, Finance, Cybersecurity, and Facilities/Maintenance teams a plus. Ability to travel frequently between labs and buildings at three nearby locations; role may involve extended periods of movement throughout facilities.
