The County Sanitation Districts of Los Angeles County is seeking an organized, customer service-oriented, and motivated professional to join the Wastewater Management Department as a Secretary I/II at the San Jose Creek Water Reclamation Plant in Whittier. This is an excellent opportunity to become part of a collaborative public service organization that plays a vital role in protecting public health and the environment for millions of residents across Los Angeles County. In this role, you will serve as a key member of the section by coordinating administrative operations, supporting technical and management staff, preparing reports and correspondence, organizing meetings and projects, and helping maintain efficient office operations. To lead the administrative functions of the section; to perform secretarial work involving the organization, coordination and facilitation of the section's administrative and technical projects; to accomplish clerical tasks involving office systems and procedures; to train and delegate work to subordinate and clerical staff; and to compile data and prepare reports utilizing advanced word processing and related software.JOB SUMMARY
Under the immediate supervision of the Section Manager, the incumbent: Leads the administrative functions of the WRP Section Facilitates and coordinates administrative tasks between groups and departments Works cooperatively and effectively with other groups and departments to efficiently complete administrative work Performs complex secretarial work Coordinates and maintains office procedures and systems Accomplishes administrative details Types final versions of letters, reports, charts, forms, and rosters from notes, drafts, verbal directions, or written instructions Organizes and prepares information for letters and reports Generates draft agenda items and coordinates such agenda items with the Department Administrative Secretary and other sections/departments as needed Provides timekeeping support Answers the telephone, greets visitors, takes messages, and provides information Routes correspondence Sorts and logs incoming and outgoing mail Independently composes routine correspondence Creates and maintains office files and records Schedules and arranges training, appointments, and meetings Makes travel arrangements Trains and delegates work to subordinate clerical staff. Operates office equipment such as fax machines and document copying equipment Utilizes word processing, spreadsheet, and database programs Prepares and organizes documents using advanced features in Word, Adobe Acrobat Professional, Excel, DM5, WAM, and other office management software Coordinates petty purchases, requisitions, and petty cash transactions for the section Provides back-up to the Department Administrative Secretary, when necessary Performs related duties as required. This position may be filled at either level:SECRETARY I
is the first-working level class in which incumbents learn a variety of office systems and procedures.SECRETARY II
is the journey level class in which incumbents accomplish a wide variety of office processes with proficiency and independence.Candidates must possess:
ForSECRETARY I
One (1) year of experience in the County Sanitation Districts of Los Angeles County performing the duties at or above the Office Assistant I level, OR Two (2) years of experience in stenographic or clerical work; ForSECRETARY II
One (1) year of experience in the County Sanitation Districts of Los Angeles performing secretarial and clerical duties of a Secretary I or Senior Office Assistant ForBOTH LEVELS
Satisfactory completion of college level business, secretarial or clerical course work may be substituted on a year-for-year basis for up to one year of the required experience.DESIRABLE QUALIFICATIONS
: Highly proficient using Word, Adobe Acrobat Professional, Excel, DMS, WAM and other office management software. The competitive selection process may cover:Knowledge of :
Office administration methods, procedures and systems English grammar, spelling, proofreading, vocabulary, arithmetic, letter writing, telephone etiquette Business letter and report composition and editing Record control principles and filing systems Ability to : Type 50 words per minute with a maximum 10% error rate Interpret and apply administrative rules, procedures and policies Perform word processing operations with full proficiency utilizing a desktop computer Prioritize and coordinate office procedures Keep records Independently compose and prepare correspondence Edit and correct written materials Train clerical support staff Maintain departmental files and recordsSELECTION PROCESS

The selection process will consist of a written test, which includes a typing assessment, weighted at 50% and an interview weighted at 50% and will be the same for all qualified applicants. Candidates must receive a qualifying score on each selection component to move forward in the selection process. The written exam is tentatively scheduled for Saturday, May 30.
