Ensures efficient operation of the school administrative office and provides clerical support for the school's administrative staff.Qualifications:
Education and Certification High School diploma or equivalent Experience One to three years of secretarial experience, preferably in public education environment Special Knowledge and Skills Ability to handle multiple tasks Proficient skills in keyboarding, word processing, and file maintenance Ability to use personal computer and software for word processing and to develop spreadsheets and databases; including but not limited to Microsoft Office applications (Word, Excel, PowerPoint) and DISD network Excellent organizational, communication (written and verbal) and interpersonal skills Knowledge of basic accounting principles Ability to exercise good judgment in handling confidential informationMajor Responsibilities and Duties:
Records, Reports, and Correspondence Prepares written correspondence, forms, schedules, or reports using personal computer. Prepares instructional materials, meeting agendas, honor rolls, student/staff reports, and campus communication as requested using personal computer. Maintains a daily teacher attendance log and records for substitute teachers. Monitors and processes personnel time accounting records, including leave requests and reports; Compiles information and submits to central office according to established deadlines. Maintains school calendar of events. Reception and Phones Schedules meetings and appointments and maintains calendar for principal. Assists students, teachers, staff, and parents as needed. Receives incoming calls, takes reliable messages, and routes to appropriate staff. Files Maintains physical and computerized files, including mailing lists, student records, visitor logs, and office communication. Updates handbooks, policy manuals, and other documents as assigned. Accounting and Inventory Performs routine bookkeeping tasks, including simple arithmetic operations to maintain campus budget records. Prepares and processes purchase orders. Receives, stores, and issues supplies and equipment. Prepares and makes cash deposits for activity account(s). May be responsible for maintenance of activity checkbook(s) and ledger(s). Assists with coordination of faculty meetings and campus activities. Assists with campus budget preparation. Maintains inventory of fixed assets, equipment, and supplies.Other Related Duties:
Sorts, distributes, or delivers mail and other documents. Enters student immunization records, in the absence of campus R.N. administers authorized medication to students, checks temperatures, and notifies parents of student illness. Maintains a positive, customer service-oriented demeanor toward all stakeholders. Follows district safety protocols and emergency procedures. Participates in professional development, department meetings, and special events as assigned. Performs other duties as assigned.Supervisory Responsibilities:
