Position Summary The Division Assistant is responsible for supporting the Case Manager Division by coordinating client communications, managing case-related administrative tasks, maintaining documentation, and assisting with workflow progression throughout the tax resolution process. This role serves as a key support resource across multiple teams, ensuring clients receive exceptional service while cases move efficiently and accurately through each stage of resolution. The ideal candidate is highly organized, detail-oriented, adaptable, and comfortable working in a fast-paced environment. Success in this role requires strong customer service skills, high-volume call handling experience, excellent communication, and the ability to manage multiple priorities while maintaining professionalism and accuracy. Key Responsibilities Communicate professionally with clients via phone, email, SMS, and other communication channels. Assist with client onboarding, welcome call preparation, and ongoing follow-up. Maintain accurate client records, case notes, and documentation within the CRM system. Request, organize, upload, and track required client documents. Support case progression by managing tasks, appointments, deadlines, and workflow updates. Assist with financial information gathering, document collection, and case preparation activities. Provide clients with updates, guidance, and clear expectations throughout the resolution process. Monitor and respond to tickets, inquiries, and assigned action items in a timely manner. Collaborate with multiple departments to ensure seamless case transitions and client satisfaction. Identify and escalate compliance concerns, service issues, and workflow obstacles as needed. Assist the division with uploading client documents. Complete ticket callback requests. Serve as a floater when needed. Qualifications High school diploma or equivalent required. Minimum 1 year of customer service, administrative support, case management, or related experience preferred. High-volume call handling experience in a professional client-facing environment. Strong customer service and relationship-building skills. Excellent verbal and written communication abilities. Strong organizational, multitasking, and time-management skills. Ability to handle confidential information with professionalism and discretion. Detail-oriented with strong follow-through and accountability. Ability to work independently and collaboratively within a team environment. Preferred Qualifications Experience in tax resolution, financial services, legal support, or case management. Experience working in a compliance-driven environment. Bilingual skills are a plus.
