This position supports the Extended Care Manager in the execution and support of daily operations of the Extended Care Program. Essential Duties and Responsibilities Assists with operational needs such as opening and closing of the program. Ensures communication of operational information including delegation of tasks, staff assignments and procedures. Perform all data entry and administrative tasks related to the programs' database, including but not limited to, program and schedule changes; registration and attendance; and payments and billing. Prepare reports as needed. Process cash/check and credit card payments. Prepare and distribute invoices. Coordinate support staffing for school events as needed. Assists with administrative duties. Act as first point of contact for the Extended Care Program. Answer the telephone and check for email messages. Maintain phone logs return phone calls and emails. Communicate problems or concerns with Extended Care Manager as needed. Maintain and ensure the accuracy, confidentiality and safe keeping of all program files, student and staff information. Coordinate work schedule for after-school program counselors based on anticipated attendance of students. Supervise counselors and oversee student activities. Assures students are properly supervised at all times. Adhere to a philosophy of fiscal prudence and understanding that these programs are an important source of non-tuition revenue to the school. Work with the Human Resources Office and the Business Office to ensure compliance with school policies regarding personnel and financial issues, respectively. Perform counselor duties when needed to maintain appropriate counselor to student ratios. Manage after school group games. Coordinate snack preparation. Communicate well with students, parents, fellow counselors, and supervisor. Promote a fun attitude and positive atmosphere. Follow safety guidelines and assure student safety. Attend school and department meetings, as applicable. Provide support and assistance to the Extended Care Manager as needed. Perform all other duties as assigned. Detail-oriented and highly organized. Ability to respond to questions and solve problems from administrators, teachers, parents, students and visitors. Ability to use computer technology, including program database, word processing and spreadsheets. Excellent verbal and written communication skills. Education and Experience Five years' related experience preferred. Associates degree preferred.
