Job Summary We are seeking an energetic and detail-oriented Enrollment and Family Services Coordinator to join our vibrant team. In this role, you will be the first point of contact for prospective and current families, managing enrollment processes, supporting student recruitment efforts, and ensuring compliance with educational policies. Your enthusiasm and organizational skills will help create a welcoming atmosphere that promotes family engagement and student success.
Responsibilities and Skills Required:
This position will require you to have the ability to pass a state of Indiana background check for child care personnel and meet all staff training requirements. Schedule and conduct center tours and enrollment intake meetings with prospective families. Maintain wait lists and accurate family and enrollment information to facilitate smooth admissions procedures and maintain accurate records in spreadsheets and CRM systems. Serve as a primary liaison for families, providing excellent customer service through clear communication, public speaking, and personalized support. Track inquiries, tours, pending enrollments, start dates, withdrawals and classroom openings. Prepare reports for center leadership. Work with center staff and leadership to achieve enrollment goals based on availability, placements, transitions, upcoming enrollments, etc. Build community based relationships to optimize referrals/enrollment. Ensure compliance with educational regulations, school policies, and confidentiality standards when handling sensitive information. Support team management by training new staff on data management tools. Collaborate with education administration to streamline processes related to admissions and enrollment management . Assist with open houses, community events, marketing social media and other referral sources. Orient and support families during the enrollment process. Previous experience in early childhood education, administration, enrollment, family services, customer services or related field. Strong knowledge of education administration practices and child care center requirements preferred. Advanced skills in Microsoft Office Suite, especially spreadsheets for data tracking and reporting Familiarity with CRM systems for managing family interactions and follow-ups Ability to handle confidential information with integrity and professionalism Must be detail oriented, professional and posses excellent verbal and written communication skills. Excellent organizational skills to manage multiple tasks efficiently in a fast-paced environment Experience in working with students from diverse backgrounds and understanding educational compliance regulations Demonstrated team management capabilities along with customer service excellence Writing skills for preparing reports, correspondence, and informational materials. This position will also function as a caregiver involving the care and routines of the children enrolled in the center.
