Job Purpose:
The Intake Specialist is the first point of contact for our clients, responsible for answering phones and capturing incoming job information to transfer to the appropriate branch locations or individuals. This role is crucial in maintaining quality customer service both in person and on the phone.
Reporting Relationships:
Reports directly to the Sales Manager. In the absence of the Sales Manager, reports to the Branch Manager.
Duties and Responsibilities:
Answer all incoming calls within 3 rings with a friendly demeanor. Transfer calls or take messages for the appropriate individual, documenting messages in 365 software. Capture and collect job-related information accurately and follow up with clients. Maintain the Restore 365 contact manager for accuracy. Keep internal company phone lists, extensions, and email addresses updated. Make 48-hour follow-up calls to customers on carpet cleaning jobs and record in 365. Provide estimates to customers for residential carpet cleanings and set up appointments for estimates on HWC or commercial cleaning projects with the assigned Project Manager. Screen sales calls to save time for owners and managers. Schedule and enter residential and commercial carpet cleanings into the system for all locations. Prepare FedEx and UPS mailings, arranging for pickup or drop-off. Provide administrative support to office staff and management. Ensure the cleanliness and organization of the front reception area, supply room, and employee break room.
Qualifications:
Functional understanding of handheld smart devices and an aptitude for learning new technology and software. Detail-oriented with strong communication and follow-up skills. Ability to follow verbal and written instructions.
Work Environment:
