Full Job Description Job Description:
Operational Support works behind the scenes to ensure smooth and efficient operations across NAG Department #14. The role supports customer-facing and internal functions, including Sales, Customer Service, Marketing, Production, Quality Management, Technology, and external support functions. It coordinates backend tasks, data analysis, order processing, documentation, logistics, and problem-solving so that departments can work efficiently and maintain reliable workflows.
Essential Duties:
  • Provide internal operational assistance to NAG teams and coordinate activities at departmental interfaces.
  • Support sales activities, including preparing offers and assisting with the drafting of contracts.
  • Create and manage customer-relevant documents and documentation at the interface with Sales and Customer Service.
  • Support the Sales team in preparing for congresses, conferences, and trade fairs.
  • Create production work plans based on incoming orders and support work preparation and work scheduling.
  • Procure spare parts and consumables for Production.
  • Coordinate material procurement for Production at the interface with Precious Metals Management.
  • Communicate with Precious Metals Management regarding customer account inquiries and the procurement of physical precious metals for Production.
  • Plan and monitor material flow, material balances, and material inventory in Production.
  • Establish and manage the drawing die management system.
  • Coordinate the shipment of products at the interface with Shipping & Receiving.
  • Create and manage production work documents, work records, descriptions of work steps, and process documentation.
  • Document and maintain standard operating procedures (SOPs).
  • Support all NAG departments in creating specifications and quality-relevant documents.
  • Ensure that all quality-management-relevant documents for the department are available, current, and properly managed.
  • Maintain operational data so that each department can access the information it requires.
  • Promote rapid information exchange, timely problem-solving, and effective interdepartmental collaboration. Competencies & Skills required:
Technical Proficiency:
Strong knowledge of the Microsoft Office Suite, especially Excel, and relevant company software.
    Analytical Skills:
    Ability to analyze data, identify trends and issues, structure processes, and understand essential process components and bottlenecks.
      Organization & Detail-Oriented:
      Exceptional ability to manage multiple tasks, establish priorities, and maintain accurate records and documentation.
        Communication:
        Strong verbal and written communication skills for interdepartmental coordination.
          Problem-Solving:
          Ability to identify operational issues, coordinate information, and support timely resolution.
            Document and Data Management:
            Ability to create, organize, maintain, and retrieve customer, production, process, SOP, and quality documentation.
              Collaboration:
              Ability to work effectively across Sales, Customer Service, Production, Technology, Quality Management, Precious Metals Management, Shipping & Receiving, and other support functions.
                Reliability and Accuracy:
                Careful and responsible handling of customer, production, quality, material, and precious-metals-related information.
                  Independent Work:
                  Ability to work with minimal supervision while maintaining effective communication with stakeholders.
                  Education and Experience:
                  A high school diploma or equivalent is required[BG1] . An associate degree or bachelor degree is required. or additional training in business administration, logistics, production planning, technical operations, or a related field is preferred but not mandatory.[BG2] Relevant experience in administrative support, operations, production coordination, customer service, logistics, document management, or a comparable role is beneficial. Appropriate onboarding and training will be provided to help a suitable candidate become familiar with the company's processes, systems, products, and working environment.
                  Work Environment:
                  This role primarily involves administrative, documentation, coordination, and data-management activities and interfaces regularly with Production, Shipping & Receiving, Quality Management, Sales, and other NAG functions.[BG3] While duties of this job are performed in an office environment, the employee may be exposed to minor fumes or airborne particles. [BG4] Specific environmental conditions, production-area access, and personal protective equipment requirements.
                  Physical Demands:
                  Ability to lift up to 15 pounds at times Prolonged periods sitting at a desk and working on a computer Comfortable working in an area, where there are chemicals [BG5] The physical demands must reflect the actual workstation and any required access to Production or Shipping & Receiving areas.
                  Expected Hours of Work:
                  This is a full-time position, working Monday through Friday, 40 hours per week, with overtime as needed.
                  Other Requirements:
                  • Must be willing to support other teams, work across departmental boundaries, and adapt to changing operational priorities.
                  • Must be willing to cross-train as needed to support continuity and knowledge sharing.
                  • Pre-employment screening requirements, including drug screening, background check, Motor Vehicle Report, and physical examination.
