This position is responsible for coordinating all logistics related to respite weekends, wellness and community programs, and for the oversight and management of our volunteers ensuring each interaction is organized, welcoming, and impactful. This individual serves as a key connector between guests, volunteers, partners, and internal teams, bringing both operational excellence and a heart for hospitality to every detail. Key Responsibilities Conduct guest confirmation calls for respite and program participation Guest Experience and Communications Coordinate and deliver guest respite boxes Manage communications and confirmations for respite, wellness, and community events Ensure all guest information, including questionnaires, is complete and up to date Support thoughtful, personalized guest experiences from initial contact through program completion Program Coordination & Logistics Oversee logistics for respite weekends, including host coordination and communication Manage room assignments and ensure readiness for guest arrival Coordinate supplies and materials needed for all programs and events Maintain and manage program participant lists and mailings Support planning and execution of wellness and community events Volunteer Management Coordinate weekend respite volunteers and administrative volunteers Manage scheduling, communication, and overall volunteer experience Support office volunteers in day-to-day program needs Lead volunteer appreciation efforts to recognize and retain engagement Coordinate volunteer support to area resource fairs and events Operations & Administration Manage billing and invoices related to respite, wellness, and community programs Maintain organized program records and documentation Support program-related committees with coordination and follow-up Ensure smooth administrative processes that support program delivery Serve as a key support to the Director of Operations, managing donation processing, billing, and invoicing functions. Partnerships & Community Engagement Maintain and update wellness partner and agency collaboration lists Support outreach and relationship-building with community partners Help expand program awareness and accessibility through partner engagement Qualifications Strong organizational and project management skills with attention to detail and ability to multi-task Excellent communication skills, both written and verbal Excellent note taking, information retention and ability to learn new process High technical ability and knowledge of working within a CRM (Salesforce preferred) Ability to manage multiple priorities with flexibility and responsiveness Experience working with volunteers, events, or hospitality environments preferred Passion for serving families and creating inclusive, welcoming environments Core Competencies Hospitality & empathy Organization & follow-through Detail oriented Communication & relationship-building Problem-solving & adaptability Mission alignment & heart for service Impact of the Role This position ensures that every program runs smoothly and that every guest and volunteer feels seen, valued, and cared for. Pay:
$48,000.00 - $51,000.00 per year
