Location:
On-site Stafford Springs, CT. Relocation assistance is NOT provided. Must be legally authorized to work in the United States without sponsorship. Must be able to pass a comprehensive background check, which includes a drug screening. Join our team as the Stafford Springs Site Administrator and be at the center of an exciting business. You will support the Site Director and Leadership team in the Single-Use Technologies Division, within the BioProduction Group, using your exceptional office and project management skills. What You Will Do:
Ensure the Directors get where they need to be on time through careful meeting scheduling and arrangement of complex global, multi-city travel. Develop understanding of the business priorities and goals for the function; use knowledge and understanding in prioritizing meeting requests. Schedule and coordinate complex site leadership meetings, bring together geographically dispersed teams, handling logistics, and documenting follow-up activities including taking meeting minutes. Collaborate and build relationships to help our business thrive in a global-matrixed organization experiencing change and transformation. Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress and problem-solving. Research, compile, summarize, and analyze information to make decisions, find answers, and respond to various inquiries from internal and external customers. Handle expense reporting, process vendor invoices, and support annual budget process. Maintain confidential files and records. Lead and support site activities, events management, communications via LCD TVs, email, Yammer, Viva Engage, and coordinate visits as requested by site leadership team. Order and maintain office supplies, housekeeping of own space and general printer areas. Support on-boarding activities for new employees. Provide customer service to employees and plant leadership by responding to questions. Assignment of time reporting badges of hourly employees. Provide access badges for all employees and visitors in conjunction with the Facilities Engineering Specialist. Participate and coordinate site activities to promote positive workplace engagement. Work closely with site market vendors to report any issues with inventory and overall vending at kiosk or vending machines. Other duties as assigned.
How You Will Get Here:
Education:
High school diploma required. Associate's degree in Secretarial Science, Business, or related field preferred.
Experience:
4+ years of executive administrative assistant or site administrator experience in a professional office environment. 3+ years supporting Director, senior level leaders or functional heads. Experience in a large, global matrix organization strongly preferred. Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word, Teams) Experience supporting internal communications, events, or workplace operations is a plus.
Knowledge, Skills, Abilities:
Strong organizational, analytical, and communication skills with an ability to anticipate what needs to be completed. Experience with internal communications tools, digital signage systems, or intranet platforms (preferred). Excellent written and verbal communication skills. Infallible proof reading and spelling. High level of discretion when handling sensitive or confidential information. Ability to manage multiple priorities and meet deadlines in a fast-paced, matrixed environment. Creative problem-solver with an eye for detail and continuous improvement. Ability to work autonomously while supporting leaders across the site. Flexible and adaptable, with the ability to respond to last-minute changes while maintaining poise and a positive "can do" outlook. This position may also be eligible to receive a variable annual bonus based on company, team, and/or individual performance results in accordance with company policy.
