Overview The IT Asset Management Specialist is the day-to-day owner of technology asset records and lifecycle transactions. This role keeps hardware, software licenses, cloud subscriptions, and SaaS accounts accurate, compliant, and cost-effective. The Specialist executes receiving, tagging, assignment, transfer, recovery, and disposal; reconciles tools and physical counts; supports software true-ups; and produces the reports Finance, Security, Procurement, and auditors rely on. This is a hands-on individual contributor role — not a people-manager role — with high accountability for data quality and process discipline. Essential Duties and Responsibilities Asset Lifecycle Execution Process incoming IT equipment: receive, inspect, asset-tag, record serial/asset numbers, and update the system of record. Issue, transfer, and recover laptops, desktops, monitors, mobile devices, printers, networking gear, and approved peripherals. Support employee onboarding and offboarding so devices are assigned, returned, wiped, and either redeployed or sent to certified disposal. Coordinate refresh, surplus, repair-depot, and warranty RMA activity with IT Operations and vendors. Arrange certified IT asset disposition (ITAD), including chain of custody and certificates of data destruction. Inventory, CMDB, and Data Integrity Maintain complete, current records in the ITAM tool and/or CMDB (status, owner, location, cost center, warranty, PO, and configuration). Reconcile discovery tools, MDM/endpoint management, procurement files, vendor portals, and physical counts; close mismatches. Ability to lift and move boxed equipment (typically up to 30-40 lbs) and walk site inventories. Software, Licensing, Cloud, and SaaS Track commercial software entitlements, maintenance, and SaaS/cloud subscriptions against actual assignments and usage. Prepare license position reports and support vendor audits and true-ups (Microsoft, Adobe, and other major publishers). Identify unused, underused, or duplicate licenses and process reclaim or reallocation. Partner with Security and IT to identify unapproved or shadow-IT applications and subscriptions. Maintain renewal calendars so licenses and support contracts do not lapse unexpectedly. Procurement, Vendors, and Finance Support Translate approved requests into standard configurations and assist Procurement with specs, quotes, and receiving. Match POs, invoices, and received goods to asset records. Provide inventory, aging, warranty, and refresh-forecast data to Finance and IT leadership. Work with OEMs, resellers, leasing companies, and ITAD vendors on logistics and documentation. Policy, Reporting, and Audit Support Follow and help maintain ITAM policies, SOPs, and work instructions; train requesters and site contacts as needed.
Produce recurring reports and dashboards:
inventory accuracy, lost/unassigned assets, license compliance, warranty status, and cost avoidance. Assemble documentation packages for internal and external audits. Escalate control gaps, missing assets, and compliance risks promptly. Required Qualifications Associate or bachelor's degree in Information Technology, Business, Supply Chain, or a related field — or equivalent work experience. 2-5 years of experience in IT asset management, hardware/software inventory, IT operations, help desk with asset duties, or IT procurement/receiving. Hands-on use of an ITAM, inventory, or CMDB platform (examples: ServiceNow, Ivanti, Lansweeper, Snipe-IT, Asset Panda, Freshservice). Working knowledge of the IT asset lifecycle: request, procure, deploy, maintain, recover, dispose. Strong Microsoft Excel skills (filters, lookups, pivots, cleanup of large lists). Ability to reconcile incomplete or conflicting data from multiple systems. Clear written and verbal communication with technicians, requesters, vendors, and auditors. High attention to detail and comfort with audit-ready documentation. Ability to lift and move boxed equipment (typically up to 30-40 lbs) and walk site inventories.
Preferred Qualifications IAITAM certification:
CSAM, CHAMP, CAMP, or
CITAM. ITIL
Foundation. Experience with ServiceNow Hardware or Software Asset Management modules. Familiarity with Microsoft 365 admin, Intune, Jamf, or other MDM for assignment and retirement. Understanding of common software licensing models (per user, per device, per core, CAL, subscription, enterprise agreement). Experience in a multi-site, field, or post-acquisition environment. Knowledge of data sanitization standards (NIST 800-88 or equivalent) and certified e-waste practices. Knowledge, Skills, and Abilities Treats the asset register as a financial and security control, not a casual spreadsheet. Organizes work so receiving, offboarding, and audit requests do not fall through the cracks. Works independently on transactions and knows when to escalate policy or vendor issues. Builds practical working relationships with Procurement, Finance, Security, Service Desk, and site leads. Handles employee device information and vendor pricing confidentially. Work Environment Office, with regular time in storage rooms, receiving areas, and telecom closets. Occasional evening or weekend work during inventories, office moves, or large refresh events. Some travel to other company locations may be required.
