Membership and Data Services Coordinator Reports to: Director of Membership Position Summary Serves as the first point of contact for visitors, clients, and staff. This role is responsible for creating a welcoming environment, managing front desk operations, and providing administrative and data support. Maintains and develops database support for office and membership as needed. Oversees the collection, integrity, security, and utilization of all organizational data within the association's databases and information systems. This role ensures that member, event, financial, and program data are accurate, accessible, and optimized to support strategic decision-making, operational efficiency, and a positive member experience with focus on the customer paramount. Key Responsibilities Customer Service & Reception Greet and assist visitors in a professional and friendly manner. Answer, screen, and direct phone calls promptly. Respond to inquiries via phone, email, or in person. Maintain a clean, organized, and welcoming reception area. Administrative Support Manage incoming and outgoing mail, packages, and deliveries for all staff. Schedule appointments, meetings, and conference room usage. Assist with data entry, filing, document preparation, and record keeping. Support office staff and management with various administrative tasks as needed including but not limited to office break room and work rooms. Data Governance & Quality Maintain and administer the association's primary data systems (e.g., iMIS, event platforms). Develop and enforce data governance standards, policies, and data-entry procedures. Conduct routine audits to ensure data accuracy, completeness, and consistency. Clean, de-duplicate, and enhance datasets to improve reporting reliability. Systems Management Serve as the main administrator for the association's database system (iMIS) and related platforms. Coordinate data integrations between systems (e.g., learning management systems, event software, email marketing tools, finance systems). Evaluate new technology solutions and make recommendations for improvements. Cross-Department Support Collaborate with membership, finance, events, education, marketing, advocacy and foundation teams to meet their data needs. Support membership campaigns through segmentation, targeting, and performance tracking. Perform necessary data entry of gifts to the foundation and produce recognition/documentation to donors. Training & User Support Train staff on proper data entry, reporting tools, and system functionality. Create user guides, documentation, and workflows to support consistent data practices. Provide technical assistance and troubleshooting for staff users. Technical Skills Proficiency in iMIS, Excel, and reporting tools. Understanding of relational databases, data models, and system integrations. Familiarity with data migration best practices. Soft Skills Excellent customer service and interpersonal abilities. Strong attention to detail and commitment to data accuracy. Ability to translate technical concepts for non-technical staff. Excellent communication, project management, and organizational skills. Problem-solver with a proactive approach to improving systems and processes. Strong verbal and written communication skills. Dependability, confidentiality, and attention to detail. Pay:
$45,000.00 - $55,000.00 per year
