Job Description
Job Overview The Systems & Data Coordinator is responsible for maintaining the accuracy, integrity, and functionality of the agency's management systems and technology resources. This role serves as a key liaison between agency staff, insurance carriers, and third-party technology providers to ensure policy downloads, system integrations, and IT support processes operate efficiently. The position combines data management, systems administration, and technical support responsibilities to help maximize agency productivity and data quality. Duties Agency Management System Administration Monitor and maintain insurance carrier policy downloads within the agency management system. Review downloaded policy transactions to ensure information is accurately attached to the correct customer and policy records. Identify, research, and resolve download errors, mismatches, and data integrity issues. Coordinate with insurance carriers and software vendors to troubleshoot download and interface problems. Perform routine audits of agency data to maintain accuracy, completeness, and consistency. Assist with system configuration, workflows, and process improvements within the agency management system. Create and maintain system documentation and procedures. Data Management & Quality Control Maintain data standards and best practices within agency systems. Monitor data quality and recommend corrective actions when inconsistencies or issues are identified. Assist with reporting, data validation, and system cleanup projects. Support management initiatives related to data accuracy, operational efficiency, and business intelligence. Information Technology Support Serve as the primary internal resource for basic technology troubleshooting and user support. Assist employees with hardware, software, printer, connectivity, and application-related issues. Coordinate technology support requests between agency staff and the agency's external IT providers, software vendors, and data management system partners. Track and follow up on support tickets to ensure timely resolution. Assist with workstation setup, user account management, system access requests, and equipment deployment. Help maintain technology inventories and documentation. Vendor & Systems Coordination Act as a liaison between the agency and external technology vendors, including agency management system providers, IT support providers, and insurance carrier technology teams. Coordinate software updates, system enhancements, and implementation activities. Assist with testing and validation of new system features, downloads, and integrations. Communicate system issues, outages, and updates to agency staff. Training & User Support Provide guidance and training to staff on agency systems and technology best practices. Develop training materials and user documentation as needed. Promote efficient system utilization and adherence to agency procedures. Experience Experience in information systems, business technology, insurance operations, or a related field. Experience with agency management systems and insurance carrier downloads preferred. Strong troubleshooting and problem-solving skills. Excellent attention to detail and commitment to data accuracy. Strong organizational and project coordination abilities. Effective verbal and written communication skills. Ability to manage multiple priorities and work independently. Preferred Experience with Applied Epic or similar insurance agency management systems. Knowledge of IVANS download processes and carrier connectivity. Understanding of insurance agency workflows and policy administration. Experience working with third-party IT service providers and software vendors. Familiarity with Microsoft 365, Windows environments, and common business applications.
