The Office of Admissions Operations (OPER) provides strategic and technical support for recruitment, marketing, and admissions processing. The team manages systems and business processes to ensure efficient operations and high-quality service for prospective and current students. Job Summary Department Specific Responsibilities Assists the Associate Director in the management of a team of support staff cross-trained in student data entry, mail processing, and workflow activities. Provides general direction for support staff in prioritizing work to meet deadlines and fulfill expectations. Analyzes, monitors, and evaluates performance of assigned staff; establishing work priorities, providing regular feedback, conducting performance reviews, and providing corrective action as needed. Determines the sequence of events and generally supervise a virtual calendar of services and timelines, which deliver individual and batch data processes and support events both internal and external to the university. Instructs staff, prepares reports, and advises the Associate Director regarding operations, software, hardware and processes related to the annual recruitment and admissions application workflow. Analyzes business performance and processes, participates in strategic research, and identifies potential for technology integration or modification. Assists with the development and implementation of business process designs for prospect processing, admissions application workflow, and develops and documents business process and system operations. Manages the operations related to transfer of credit, automated data entry, and the maintenance of a high standard of quality and data integrity. Assists the Associate Director in the management of operations related to admissions application processing, including application update processing in the Slate Customer Relationship Management (CRM) and in PeopleSoft Student Information System (SIS). Manages the processing of incoming mail. Provides consistent and accurate loading of data for internal and external customers. Manages systems and workflow administration duties. Assists the Associate Director in the testing of business processes, system enhancements, and quarterly patches related to the IU Student Information System, and other central systems related to recruitment and admissions. Maintains queries and reports to identify data and processing discrepancies, instructs staff in the resolution of discrepancies, and performs follow-up to ensure satisfactory completion of tasks. Assists in the recruitment of employees, interview and screen individuals for hiring, develop training materials, instruct staff, and determine work hours. General Responsibilities Provides specialized customer support through provisioning, creation of projects or workspaces within applications, and/or customizing products to customer specifications. Troubleshoots and analyzes problems and bugs in applications and products. Performs complex upgrades, releases, customization, and documentation of work according to team's established methodology. Performs programming, scripting, and modifications of application and products for corrective action. Collaborates with technical and functional business clients and teams within the central information technology organization. Contributes to project planning, objective formulation, task estimation and evaluation of customer requests. May train, mentor and provide guidance and feedback to less experienced staff. Required Bachelor's degree (preferably in computer science, business systems, or related field.)WORK EXPERIENCE
Required 2 years in customer/application support, programming, or related experience. SKILLS Required Proficient written and verbal communication skills. Demonstrates problem solving skills. Ability to simultaneously handle multiple priorities. Demonstrates customer service skills. Quickly troubleshoots and resolves problems. Performs work independently with minimal supervision. Effectively coaches and delivers constructive feedback. Working Conditions / Demands This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation. This position requires occasional on-campus (IU Bloomington) presence will be required for meetings or other business needs as necessary. Work Location This is a primarily remote position. However, this is subject to change in the future based on university policy and business needs.
