IT Project CoordinatorAbout the Role We are seeking a highly organized and proactive IT Project Coordinator to support the planning, execution, and successful delivery of technology initiatives. In this role, you will partner with project managers, business stakeholders, technical teams, and external vendors to coordinate project activities, monitor progress, manage documentation, and ensure alignment with project objectives, timelines, and quality standards. The ideal candidate has experience working in dynamic technology environments, managing multiple priorities, and facilitating collaboration across cross-functional teams. This position offers the opportunity to contribute to a variety of IT projects, including software implementations, infrastructure upgrades, cloud initiatives, system integrations, cybersecurity programs, and enterprise technology transformations. What You'll Do Coordinate day-to-day activities across multiple IT projects to ensure deliverables remain on schedule and aligned with project objectives. Maintain and update project documentation, including project plans, schedules, action item logs, RAID logs (Risks, Assumptions, Issues, and Dependencies), status reports, and meeting records. Track project milestones, deliverables, risks, issues, decisions, dependencies, and change requests. Organize and facilitate project meetings by preparing agendas, documenting meeting minutes, and following up on action items. Serve as a communication liaison between business stakeholders, technical teams, vendors, and project leadership. Monitor project progress and proactively identify schedule impacts, resource constraints, risks, and dependencies. Prepare project status reports, dashboards, and executive summaries to communicate project health and progress. Support project managers with resource planning, budget tracking, procurement coordination, and vendor management activities. Assist with project intake, planning, requirements gathering, implementation planning, deployment, and project closeout activities. Ensure adherence to project governance standards, PMO methodologies, processes, and controls. Support change management initiatives, stakeholder communications, training coordination, and user adoption activities. Coordinate production releases and post-implementation support activities, as needed. Escalate critical project risks, issues, and schedule concerns in a timely manner. Contribute to the continuous improvement of project management processes, templates, reporting, and best practices. Minimum Qualifications Bachelor's degree in Information Technology, Business Administration, Computer Science, or a related field, or equivalent practical experience. 3-5 years of experience in IT project coordination, project management, PMO support, business analysis, or a related technology-focused role. Experience working with cross-functional teams in a technology environment. Experience coordinating activities with external vendors and managing deliverable timelines. Strong organizational, prioritization, and multitasking skills. Excellent written, verbal, and interpersonal communication skills. Experience creating project schedules, status reports, meeting minutes, action logs, and project documentation. Ability to manage multiple projects and priorities simultaneously. Strong analytical, problem-solving, and critical-thinking skills. Proficiency with Microsoft Office applications, including Excel, Word, PowerPoint, Outlook, and Teams. Experience using project management and collaboration tools such as Jira, Microsoft Project, Azure DevOps, Smartsheet, Confluence, or similar platforms. Preferred Qualifications Experience supporting software development, system integration, infrastructure, cloud, cybersecurity, data, or enterprise application projects. Understanding of SDLC, project governance, change management, release management, and PMO best practices. Familiarity with Agile, Scrum, Waterfall, and hybrid delivery methodologies. Ability to effectively collaborate with both technical and non-technical stakeholders. Experience within regulated industries such as healthcare, financial services, government, insurance, or similar sectors. Basic knowledge of APIs, databases, enterprise applications, cloud technologies, and systems integration concepts. Professional certifications such as PMP, CAPM, CSM, PMI-ACP, or equivalent project management credentials.
