Job Description

Role:
Provide Administrative support to Director and Managers. Responsible for A/R and A/P for transit program. Works with Director on Budgets. Provides backup support for Payroll processing and Service Coordination in Operation Managers absence.
Essential Functions & Responsibilities:
E 15
  • Screens incoming mail, publications and other correspondence. Respond to business office emails or forward to appropriate division(s). Answer business office phone and direct to appropriate personnel. E 20%
  • Prepares or assists in the preparation of assigned reports, including working under the direction of the Director to prepare Federal reports. Assists in the preparation of documentation for federal, state and other grants and funding sources. E 20%
  • Researches, collects and prepares information for town and county funding cycles for use in discussions and meetings in preparation for Annual funding requests and attends meetings as required. E 10
  • Coordinates meetings and makes travel and lodging arrangements for employees if needed. E 10%
  • Provides general admin support to insure smooth operations of the transit office. Orders supplies for all office equipment, acts as point of contact for all office equipment vendors. E 5
  • Performs other job-related duties as assigned. E 20
  • Processes accounts receivable and payable, make deposits as needed.
Works with Director to create and maintain yearly budget.
Performance Management:
1. Prepare verbal and written correspondence with minimum guidance after proper data and information is provided. Correspondence should be proofed for spelling and grammar. Maintain proper contact lists. 2. Code invoices and revenues as requested accurately. 3. Answer phone calls and direct callers to the proper parties. 4. Utilize software to be sure that all work is properly coded, invoiced, and processed. 5. Be familiar with fiscal and human resources policies and procedures to be able to answer general factual inquires directed to Admin on such items. 6. Works with Director and Management staff on yearly budgets, town an county funding processes.
Knowledge, Skills, and Abilities:
Experience
  • Three years to five years of similar or related experience. Education
  • (1) A two-year college degree or (2)completion of a specialized course of study at a business or trade school (3)completion of specialized training courses conducted by equipment vendors or (4) job specific skills acquired through on-the-job training or apprenticeship program. Interpersonal Skills
  • Courtesy, tact, and diplomacy are essential elements of the job. Work involves much personal contact with others inside and/or outside the organization for purposes of giving or obtaining information, building relationships, or soliciting cooperation. Other Skills
  • Excellent organizational and editing skills; typing skills utilizing Word at or above the 75th percentile in speed and 90th percentile in accuracy; proficient with spreadsheets. Physical Requirements
  • Minimal physical exertion, able to lift and carry up to 25lbs. Work Environment
  • Normal office environment.
Pay:
From $17.00 per hour
