SUMMARY:
The Medical Transportation Driver provides professional, reliable, and compassionate transportation services to ensure patients have access to medical appointments, treatment programs, and supportive services. This position assists clients with mobility needs, coordinates transportation activities, maintains accurate documentation and reporting, and ensures compliance with all safety, infection control, confidentiality, and organizational requirements. Through excellent customer service and a patient-centered approach, the Medical Transportation Driver supports continuity of care, reduces barriers to healthcare access, and promotes positive client outcomes.

ESSENTIAL DUTIES & RESPONSIBILTIES
Must display and set the example with excellent customer service skills, common courtesy maintaining eye contact and displaying active listening skills towards clientele, staff, funders and the general public at all times. Transports patients to and from outpatient medical appointments, clinics, and related services in a reliable, timely, and courteous manner. Assist patients entering and exiting the vehicle, including securing wheelchairs, walkers, and other mobility devices using proper safety procedures. Ensure all passengers are properly secured with seatbelts or restraints prior to vehicle movement. Maintain strict adherence to all traffic laws, safe driving practices, and organizational transportation policies. Perform pre-trip and post-trip vehicle inspections; report maintenance issues, safety concerns, or incidents immediately. Prepares, completes, and submits vehicle maintenance checklist on a daily basis. Keep vehicles clean and in good working condition in accordance with infection control and safety protocols. Performs daily cleaning and sanitization of agency vehicles in accordance with established infection prevention, sanitation, and safety standards to maintain a safe environment and minimize cross-contamination risks. Communicate effectively with dispatch, clinic staff, and patients regarding schedules, delays, or changes. Coordinate travel activities with other staff who can assist with client transportation as necessary. Operates radio, cell telephone or similar device to communicate with base station or other vehicles to report disruption of service. Follow assigned routes and schedules while adjusting for traffic, weather, and patient needs. Provide excellent customer service with a respectful, patient-centered approach, especially when working with elderly, disabled, or medically vulnerable populations. Maintain patient confidentiality and comply with HIPAA regulations at all times. Observe and report changes in patient condition or safety concerns to appropriate staff. Respond appropriately to emergencies, accidents, or breakdowns, including contacting emergency services when necessary and following organizational protocols. Use basic first aid or CPR if needed and within scope of training. Support care coordination by ensuring patients arrive on time for appointments, helping reduce missed visits and improving continuity of care. Review transportation request forms and schedules transportation routes daily.

Must prepare individual daily transportation route per service area with flexibility to assist other areas as needed. Perform other duties assigned to support the transportation program and overall patient care. Maintain daily documentation (case note, service entry) into current data system. Maintain accurate transportation logs/records of travel in agency vehicle (i.e. date, beginning mileage, ending mileage, trip destinations, etc.) and incident reports daily and to compile for monthly reporting. Prepare, complete, and submit monthly transportation reports to supervisor. Keep track of travel request documentation for record keeping and funder auditing. Responsible for verifying client eligibility to ensure continued qualification for transportation services prior to scheduling. Ensures all fuel and maintenance receipts are turned into the accounting department on a daily basis. Reviews accuracy of proper data entry with corresponding grants by auditing client charts. Facilitate and coordinate services rendered through rideshare programs (ex. UberHealth). Drives vehicle from individual or central loading area to social services or rehabilitation center, training location, job site, or other destination according to assigned schedule. Must wear a seatbelt at all times and ensure all patients are properly secured with seatbelts before operating the vehicle. Provides backup telephone coverage for the office between transportation assignments to assist with coordinating and connecting transportation services. Participate in program improvement activities, meetings, and special projects as assigned. Must participate in VAC/Westbrook Clinic special events including after regular working hours. Must follow all agency rules and regulations including but not limited to Employee Handbook and safety protocols and programmatic procedures. Must attend departmental, organizational meetings and any mandatory agency and funder trainings. May need to provide staff coverage and travel from site to site. Maintain a flexible schedule outside Monday - Friday 8:00 am - 5:00 pm, this position may occasionally require non-traditional hours, such as evenings and weekends and extended hours. Occasional overnight travel. Other duties as assigned and required.
MINIMUM QUALIFICATIONS - EDUCATION & EXPERIENCE
High School graduate or GED and twelve months of related experience and/or training; or equivalent combination of education and experience. Valid state driver's license with clean driving record (no major violations within past 3-5 years). Current CPR/First Aid certification. Defensive driving certification is preferred. Minimum 1 year of professional driving experience (healthcare, transportation, or customer service setting preferred). Experience transporting patients, elderly individuals, or persons with disabilities preferred.
MINIMUM QUALIFICATIONS - KNOWLEDGE, SKILLS & ABILITIES
Knowledge of safe driving practices, traffic laws, and defensive driving techniques. Basic understanding of patient safety, mobility assistance, and infection control practices. Familiarity with local roads, routes, and GPS/navigation tools. Awareness of HIPAA/privacy standards and patient confidentiality requirements. Working knowledge of Microsoft Office, specifically Outlook, Word & Excel. Skill in operating a motor vehicle. Demonstrate good teamwork with fellow co-workers to achieve and complete daily tasks. Demonstrate flexibility, ability to perform multiple tasks, good problem solving and positive people skills. Strong safe driving skills and attention to detail. Customer service skills with a patient-centered approach. Ability to assist passengers safely, including wheelchair securement and basic mobility support. Effective communication skills (verbal and basic written). Time management and punctuality. Ability to respond calmly in emergency or high-stress situations. Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence; ability to make basic arithmetic computations. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to safely operate agency vehicles. Ability to push and assist patients (typically up to 50-100 lbs with assistance or equipment). Ability to follow schedules while adapting to delays or changes. Ability to maintain confidentiality and professionalism at all times. Ability to recognize and report safety concerns or changes in passenger condition. Ability to work independently with minimal supervision.
SPECIAL REQUIREMENTS/QUALIFICATIONS
Active state of Texas Class "C" Driver's License. Employee must maintain all certifications, licenses and/or registrations consistent with Westbrook Clinic policy and Texas State Law as applicable. Bilingual (English & Spanish) highly desired to effectively communicate with clientele. BLS certification. This job will require traveling within the Hidalgo, Willacy, and Cameron Counties and surrounding areas and occasional overnight travel.
EQUIPMENT USED
Requires frequent use of agency issued desktop/laptop computer including word processing and spreadsheet programs; general office equipment and operating safely automotive vehicle.

While performing the duties of this job, the employee is frequently required to sit and talk or hear. The employee is occasionally required to walk; use hands to finger, handle, or feel objects, tools, or controls; and reach with hands and arms. The employee must occasionally lift and/or move up to 35 pounds with or without assistance. Specific vision abilities required by this job include close vision and the ability to adjust focus. Work is predominantly performed in an office setting where the noise level is usually quiet.
