Job Summary:
Coordinates, and oversees all clerical tasks as assigned by the Administrative Staff, ensuring the smooth operation of the WCFD Central Office.Duties/Responsibilities:
All duties will comply with Head Start/Early Head Start standards, DFS licensing, NAEYC guidelines, Wyoming Division of Disabilities regulations, and WCFD policies. All employees will adhere to the mission, vision, values, policies, and procedures of WCFD. Coordinates and approves all meeting and training arrangements including hotel and conference service agreements. Monitors office supply inventory and makes purchase requests as needed. Assist Executive Director and Director of Program Operations with coordination with the Policy Council and the Board of Directors. Types and edits grants, correspondence and reports and forms for administrative staff as needed. Assists with the development of WCFD reports and child outcome tracking. In coordination with the Executive Director and CFO, develop grant proposals based on program needs. Initiates and completes special projects as assigned by the Executive Director, Director of Program Operations & CFO. Sends out meeting notices, agendas and minutes, in a timely manner. Oversee the formatting, updating and distribution of all forms used within the program. Oversees updating and distribution of all manuals used within the program. Maintains the Central Office filing systems in an efficient and orderly manner. Prepares bid announcements; assists in bid process. Prepares contractual agreements and maintains contracts in appropriate filing systems. Coordinates and approvals needed maintenance of all office equipment. Recruits' children for the program within the guidelines established by Department of Health and Human Services and Wyoming Child and Family Development. Must have strong computer skills and extensive knowledge of Word, SharePoint and Excel Must be able to work with families and children birth through age 5. Must be able to communicate effectively with staff, children, families and community. Must be able to work in a flexible daily routine and change as required. Performs other duties as assigned by the Board of Directors, Executive Director or its designee. Able to perform the essential functions of the position, as defined in the job description, without presenting a danger to either self or others, with or without reasonable accommodations. Must have an employment physical and TB risk assessment prior to work with children. Must have AHA CPR and First Aid Training completed within 90 days, unless otherwise specified by the supervisor. Wyoming Child and Family Development, Inc. requires all prospective employees to participate in a Central Registry and criminal background check, including fingerprinting, upon hire and every 5 years. Wyoming Child and Family Development requires an initial statement of health from a licensed healthcare provider and a health status annual assessment. Must have a valid driver's license, safe driving record and liability insurance as required by Wyoming State Law. Driving records are reviewed annually.Required Skills/Abilities:
Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Excellentanizational skills and attention to detail. Must have team management skills. Grant Development experience is desired. Must be able to meet timelines and be able to manage multiple priorities, Management, comprehensive knowledge of program development. Must be reliable,anized and detail oriented. Must have the interpersonal skills to be able to meet the public and work with program staff. Must possess proper stress management techniques.Education and Experience:
Must have a High School Diploma or a G.E.D. and be 18 years of age (state requirements). Must attain additional training or certifications, which may be required by Wyoming Child and Family Development, Inc. WCFD will only accept college degrees from accredited institutions recognized by the U.S. Department of Education.Physical Requirements:

Capable of hearing and processing both in-person and telephone conversations. Must be able to work in a variety of temperatures, including hot and cold weather. Ability to work in air-conditioned buildings and under fluorescent lighting. Must be able to climb stairs, stoop, kneel, crouch and/or reach, to retrieve materials and supplies from ground level to a height of at least 5 ft. Ability to lift and carry up to 50 pounds.
