We are seeking a reliable, friendly, and highly organized Administrative Assistant to serve as the primary front-desk receptionist while supporting daily office and administrative operations. This role is ideal for a strong multi-tasker with a professional demeanor and a service-oriented mindset. This position is fully in-office and based in Jacksonville Beach. Position Summary The Administrative Assistant is responsible for front-desk reception and day-to-day office operations. This role supports administrative processes, maintains office and kitchen functionality, and assists with tax and accounting-related workflow tasks. The ideal candidate is dependable, detail-oriented, and comfortable managing multiple priorities in a fast-paced professional environment. Key Responsibilities Front Desk and Office Operations Serve as the primary receptionist, greeting clients and visitors and managing incoming calls. Manage client source document intake and work queue reconciliation. Coordinate meetings, conferences, and appointments as requested by partners and managers. Maintain office premises, equipment, and supplies to ensure a clean, organized, and professional environment. Order and maintain office and kitchen supplies, including monitoring inventory. Perform basic kitchen upkeep, including taking out kitchen trash and occasional refrigerator clean out. Coordinate with vendors for office equipment, maintenance, and building repairs. Ensure office equipment is in good working order. Run occasional business errands, such as post office trips, using a personal vehicle. Administrative Support Maintain the Administrative Procedures Manual, including standardizing and periodically reviewing procedures, forms, and files. Review annual administrative processes with departments and assist with updates. Assist with engagement letter and proposal preparation and routing. Perform other related duties as assigned. Tax and Accounting Support Assemble tax returns. Assist with route sheet updates and design changes as needed. Support engagement workflow and administrative accounting processes. Preferred Qualifications High school diploma required; Associate's degree in Business or Accounting preferred. Five years of administrative experience preferred; CPA firm experience is a plus. Strong organizational skills with the ability to manage multiple tasks and deadlines. Experience working in an accounting or professional services environment. Proficiency with Microsoft Office and accounting-related software; experience with Practice CS preferred. Strong written and verbal communication skills. Ability to exercise sound judgment and maintain confidentiality. Professional, cooperative approach when working with clients and firm staff.
