Job Description

Position Summary Woodmansee Insurance Inc. is seeking an Administrative Support Specialist to serve as the first point of contact for our clients and provide vital support to our internal team. This role is responsible for ensuring a welcoming environment, managing high-volume communications, and providing essential administrative support to our Account Managers to ensure the agency operates efficiently.
Hours:
Monday
  • Friday 8:45am-5:00pm, Rotating Saturdays, 9am
  • 12pm, ½ day off during that week (2 per month)
Salary:
$47,000
  • 50,000 annually Here's what you'll do:
Reception & Greeting:
Manage phone reception and warmly greet customers as they enter the agency.
    Customer Service:
    Provide superior service by responding effectively to customer questions and resolving problems to their satisfaction.
      Data Processing:
      Perform accurate data entry and maintain quality control across all agency records to ensure accuracy of client files and policy documentation.
        Account Manager Support:
        Assist Account Managers with various tasks to ensure timely client service and account coordination.
          Document Management:
          Maintain current file data within our management system and assist with necessary filings.
            Office Operations:
            Maintain a professional work environment and perform other duties and tasks as required by management. Here's what you'll need:
            Communication Skills:
            Excellent oral and written communication skills, with the ability to interact professionally with clients and team members .
            Tech Savvy :
            Moderate computer skills (Internet, Microsoft Office, Email, Scanning/Digital Filing), and the ability to learn new agency management systems quickly .
            Multi-tasking & Detail:
            Strong attention to detail with the ability to manage multiple tasks independently in a fast-paced environment.
            Professionalism :
            A self-driven work ethic and the ability to maintain strict confidentiality regarding client data.
            Collaboration:
            A desire to work well in a team setting and support collective agency goals.
            Discretion:
            Ability to handle sensitive personal and financial information with the utmost integrity and in compliance with privacy regulations.
            Experience:
            Previous experience in an office setting is preferred; prior experience within an insurance agency is a significant plus.
