Administrative Manager $XXXX-$XXXX We are seeking a dynamic and highly organized Administrative Manager to lead our administrative operations with energy and precision. In this vital role, you will oversee a wide range of office functions, ensuring seamless daily operations, efficient team management, and exceptional client service. Your proactive approach will help foster a productive work environment while maintaining strict confidentiality and accuracy across all administrative processes. This position offers an exciting opportunity to contribute to the success of a fast-paced organization by implementing effective systems, managing vendor relationships, and supporting team development. Responsibilities Coordinate and supervise daily office activities, including front desk operations, multi-line phone systems, and calendar management for executives and staff. Oversee vendor management, including negotiating contracts, processing invoices through accounting software like QuickBooks, and maintaining positive supplier relationships. Lead event planning efforts for company meetings, training sessions, and special events, ensuring all logistics run smoothly from start to finish. Manage human resources functions such as onboarding new employees, maintaining personnel records, and supporting payroll processing. Oversee bookkeeping and accounting tasks, including financial recordkeeping, budgeting support, and ensuring compliance with organizational policies. Supervise administrative staff by providing training & development opportunities, delegating tasks effectively, and fostering a collaborative team environment. Handle confidential information with integrity while ensuring accurate filing systems, document management, and record retention practices are maintained. Requirements Proven experience in office management or administrative leadership roles with strong supervisory skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with experience using spreadsheets for data analysis and reporting. Familiarity with financial software such as QuickBooks or other accounting tools; experience with bookkeeping and payroll is highly desirable. Demonstrated ability to manage schedules efficiently while prioritizing multiple tasks in a fast-paced environment. Excellent communication skills—both verbal and written—and professional phone etiquette for client communication. Strong organizational skills with keen attention to detail in filing, record keeping, and document handling. Experience in event planning, vendor negotiations, and office logistics management is preferred. Knowledge of human resources procedures including onboarding, training & development initiatives. Ability to handle confidential information discreetly while maintaining compliance with organizational policies.
