Job Description

We are seeking a highly organized, dependable, and motivated Director of Administration to help oversee and coordinate the department's administrative operations. This role is essential to keeping daily office functions running smoothly and ensuring that our leadership and personnel have the administrative support they need to serve the community effectively. The ideal candidate is an experienced administrative professional with strong leadership, communication, and organizational skills. We are looking for someone who takes initiative, pays attention to detail, and can manage multiple responsibilities while maintaining professionalism and confidentiality. Responsibilities Oversee daily administrative operations, including office management, clerical support, scheduling, and document organization. Coordinate administrative staff activities, provide guidance and training, and help maintain an efficient and professional work environment. Manage calendars, meetings, appointments, and internal communications to support department leadership. Assist with budgeting, financial documentation, bookkeeping, purchasing, and expense tracking in accordance with department procedures. Maintain relationships with vendors and service providers, coordinate purchases, and help ensure that supplies and services meet departmental needs. Support personnel administration, including onboarding documentation, employee records, payroll coordination, and related administrative processes. Prepare reports, correspondence, presentations, and other documents using Microsoft Office and spreadsheet applications. Maintain accurate and organized records, ensuring that confidential information is handled appropriately and that applicable policies and requirements are followed. Coordinate meetings, department events, and community outreach activities in collaboration with department leadership. Monitor office supplies, equipment records, filing systems, and other administrative resources. Serve as a point of contact for administrative inquiries from department personnel, vendors, community members, and external partners. Identify opportunities to improve administrative procedures, strengthen communication, and make daily operations more efficient. Qualifications and Experience Previous experience in office management, administration, or a related leadership position. Experience coordinating administrative activities and supervising or supporting staff. Strong organizational and time-management skills, with the ability to handle multiple priorities. Familiarity with budgeting, bookkeeping, purchasing, payroll coordination, or financial record keeping. Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint. Experience using accounting or financial software such as QuickBooks is preferred. Strong written and verbal communication skills, with a professional and courteous approach. Ability to maintain accurate records and handle confidential information with discretion. Experience with scheduling, document management, filing systems, and general office procedures. A proactive, dependable, and collaborative approach to problem-solving and administrative support. Experience working with a fire department, emergency services organization, nonprofit, or community-based organization is beneficial but not required. We are looking for someone who takes pride in keeping things organized, communicates effectively, and understands the importance of dependable administrative support. The successful candidate will work closely with department leadership and personnel to help maintain efficient operations and support Laurel Fire Department's service to the community.
Pay:
$40.00 per hour Expected hours: 40.0 per week
