Job Overview The Administrative Coordinator provides administrative, customer service, transaction processing, and operational support across the organization. This position serves as a primary point of contact for customers, suppliers, and internal personnel and works collaboratively with Sales, Service, Education, Application Engineering, Engineering, Manufacturing, Purchasing, Shipping/Receiving, Accounting, and other departments. The position requires strong organizational and communication skills, attention to detail, sound judgment, and the ability to effectively manage multiple priorities in a team environment. Essential Duties and Responsibilities Manage incoming customer calls and emails, respond to general inquiries, and route requests to the appropriate employee or department. Provide customer assistance regarding products, orders, service, payments, shipping, warranties, RMAs, and other administrative matters. Prepare and process customer quotes, orders, invoices, eStore transactions, and related documentation while maintaining accurate information in WinMan and other company systems. Coordinate customer payments, credit card requirements, and resolution of payment-related issues. Process warranty orders and RMAs and follow up on outstanding invoices, orders, RMAs, and other open items. Coordinate shipping, freight requirements, and related documentation for customer and vendor orders, including Purchasing support. Provide administrative and operational support to departments throughout the organization, including assistance with projects, campaigns, and other departmental activities. Maintain accurate, organized records and documentation. Perform other duties as assigned by the Department Leader or designee. Other duties may be assigned. Qualifications Previous experience in administration, customer service, order entry, or a related position. Strong verbal, telephone, written communication, customer service, and interpersonal skills. Strong organizational, time-management, prioritization, and multitasking skills with excellent attention to detail and accuracy. Strong computer and typing skills, including experience with Windows-based ERP systems; WinMan experience preferred. Experience with order processing, invoicing, shipping, payments, warranty, or RMA administration preferred. Ability to work independently and collaboratively across multiple departments. Spanish language fluency is a plus. Education High school diploma or equivalent required. Additional education or training in business administration, customer service, or a related field is preferred. Physical Demands Must be able to sit and work at a desk for extended periods while using a computer, telephone, and other standard office equipment. May occasionally be required to move throughout the facility to support administrative and operational activities. Work Environment The primary work environment is an office setting with regular interaction with departments throughout the facility, including Service, Shipping/Receiving, Manufacturing, Engineering, and other operational areas.
