About the Role Integrate Wellness Center is looking for a highly organized, dependable, and confident Lead Front Office Coordinator to take ownership of the day-to-day operations of our front office. This is more than a receptionist position. You will be the central point of communication for our patients and families while helping ensure that schedules, follow-ups, payments, communication, and administrative systems stay organized and on track. Our office is warm, energetic, and highly relationship-driven, but it is also fast-paced. We are looking for someone who can genuinely connect with people while also being exceptionally organized behind the scenes. The right person doesn't wait to be told what needs attention. They notice it, communicate it, and take initiative to get it handled. What You'll Be Responsible For Welcoming and checking in patients and families Managing the daily patient schedule in Jane, including scheduling, rescheduling, confirmations, and schedule changes Answering incoming calls and appropriately directing patient inquiries Monitoring and responding to emails, text communications, and voicemails Communicating with prospective new patients and guiding them through the appropriate next steps Tracking patients who need to reschedule or require follow-up Supporting care plan compliance and helping patients stay consistent with their recommended schedules Confirming visit payments and communicating clearly about account or scheduling questions Maintaining accurate patient information and front-office documentation Coordinating closely with doctors and the Patient Care Coordinator to maintain smooth patient flow Completing daily administrative reports, checklists, and follow-up tasks Identifying scheduling, communication, or administrative issues before they become larger problems Maintaining an organized, professional, and welcoming front-office environment Taking ownership of front-office systems and helping improve them as the practice grows You'll Thrive Here If You... Are exceptionally organized and naturally keep track of details Take initiative instead of waiting for someone to tell you what to do next Are reliable, punctual, and consistent Communicate warmly but confidently Can have professional conversations about scheduling, policies, payments, and expectations Are comfortable juggling multiple priorities without becoming overwhelmed Notice when something has been missed and take responsibility for following through Learn technology and new systems quickly Enjoy working with children and families Work well as part of a close-knit team Are genuinely interested in health, nervous system care, wellness, and helping people Want a position where your role truly matters to the success of the practice Experience We're Looking For 2+ years of experience in front office administration, medical/chiropractic office coordination, patient services, hospitality, or another high-touch client-facing role preferred Previous experience managing schedules, phones, and administrative systems strongly preferred Experience in a chiropractic, pediatric, healthcare, or wellness environment is a plus Experience with Jane App, Asana, Canva, or similar systems is a plus High school diploma required; additional education welcomed About Integrate Wellness Center Integrate Wellness Center is a nervous system-focused chiropractic office serving children, adults, and families.
