FT Position Summary:
The Shelter Administrative Coordinator plays a vital role in the daily operations and success of Lifebridge North Shore. Serving as a primary point of contact for clients, guests, volunteers, community partners, and callers, this position provides professional administrative support while helping maintain a safe, organized, welcoming, and structured shelter environment. The Shelter Administrative Coordinator works closely with the Case Management and Direct Care teams to support client intake, daily shelter operations, communication, documentation, referrals, and enforcement of organizational policies and procedures.
Job Responsibilities:
Reception & Administrative Coordination Serve as the first point of contact for clients, guests, volunteers, community partners, and other visitors. Answer and professionally direct incoming telephone calls in a timely manner. Maintain accurate, organized, and up-to-date administrative records. Maintain and update the shelter's job resource board. Track shelter bed requests and provide weekly reports to the VP of Clinical Services. Maintain confidentiality of client and organizational information. Work collaboratively with shelter staff and leadership to facilitate the daily structure and operations of the facility. Client Screening & Intake Screen incoming clients based on bed availability and established shelter intake procedures. Initiate and complete new intake folders for all incoming clients. Maintain list of referral sources, including street outreach, hospitals, correctional facilities, detoxification programs, and other community referrals. Upon client arrival, collect medications and copies of identification and insurance documentation in accordance with organizational procedures; scan and forward to assigned Case Manager. Ensure client property is appropriately separated, labeled, and prepared for heat treatment. Communicate relevant intake information to Case Management and other appropriate team members. Shelter Chore Coordination Maintain the chore binder in an organized and current manner. Assign client chores based on individual abilities, limitations, work schedules, and appointments. Monitor client participation and ensure assigned chores are completed appropriately. Complete missed chore lists as required and communicate concerns to Case Management. Supplies & Facility Support Monitor and maintain adequate supplies throughout the facility and replenish as needed. Maintain a clean, organized, and professional reception/work area. Empty the shredder basket into the designated shredder bin at the end of each shift. Donations Assist with receiving and carrying in donations, accurately record donations, and provide donors with tax-donation receipts. Communicate donation-related needs or concerns to appropriate staff. Mail Management Sort, date, and appropriately file resident/SOHH mail. Sort and date non-resident mail and provide it to Day Center staff. Route all bills related to Lifebridge North Shore properties to the VP of Operations mailbox. Shelter Environment & Policy Enforcement Help maintain a safe, orderly, and respectful environment by routinely monitoring common areas and addressing policy violations promptly and professionally. Frequently monitor the areas surrounding Lifebridge properties and address loitering concerns appropriately. Enforce applicable Lifebridge policies and procedures. Remind clients about upcoming groups and encourage participation. Conduct frequent walk-throughs of the dining room and ensure tables and windowsills remain clear and free of unattended property. Communicate significant behavioral, safety, or policy concerns to Case Management or Program Director. Other duties as assigned. Supervisory Responsibilities:
None Work Environment:
Congregate shelter environment, requiring frequent interaction with clients, staff, volunteers, visitors, and community partners. May involve working with individuals experiencing homelessness, behavioral health challenges, substance use concerns, or other complex social and economic circumstances.
Physical Requirements:
Sitting for extended periods while working at a computer and performing administrative tasks. Using a computer, keyboard, mouse, telephone, and other standard office equipment. Standing, walking, bending, reaching, and lifting or carrying office supplies or materials weighing up to approximately 20-25 pounds. Communicating effectively in person and by telephone
Minimum Qualifications:
High school diploma or equivalent. Previous experience in a shelter, human services, social services, healthcare, residential, administrative, or customer-service environment preferred. Strong organizational and administrative skills with exceptional attention to detail. Excellent verbal and written communication skills. Ability to maintain professionalism and composure in a fast-paced and sometimes challenging environment. Basic computer skills and the ability to learn electronic recordkeeping and other organizational systems.
Preferred Qualifications:
Additional education or training in human services, social services, business administration, or a related field preferred. Experience working with individuals experiencing homelessness or other barriers to housing and stability is highly desirable.
Pay:
$21.00 - $22.00 per hour Expected hours: 40.0 per week
