Responsibilities:
Administrative Team Leadership & Staff Development
  • Serve as the primary leader and supervisor for the entire administrative team, direct-mentoring an administrative support staff of 3 or more team members
  • Prepare work schedules, assign daily duties, manage administrative team workloads, and plan/conduct regular team meetings
  • Recruit, interview, onboard, and train new administrative team members
  • Evaluate job performance, conduct reviews, provide constructive feedback, and recommend personnel actions in compliance with company regulations
  • Guide administrative team staff in handling complex operational issues and resolving escalated disputes Office Operations & Administrative Management
  • Implement, communicate, and enforce company and departmental policies, procedures, and service standards
  • Oversee general office maintenance, space utilization, and equipment acquisitions, servicing, and inventory management
  • Supervise administrative procedures, including filing systems, database maintenance, mail sorting, and general clerical duties
  • Analyze and streamline office workflows to improve overall accuracy, efficiency, and communication across departments Sales Support & Customer Service Oversight
  • Manage high-level customer service workflows, ensuring inquiries, accounts, and service requests are handled promptly
  • Resolve complex or escalated billing disputes, adjustments, refunds, and service complaints
  • Supervise order processing workflows, order entry validation, scheduling, and calendar management to support organizational goals Financial & Reporting Control
  • Review and verify records related to inventory, shipping, payroll support, and daily operational activities
  • Manage daily financial logging, including completing daily deposits and maintaining accurate transaction records
  • Generate, review, and report on weekly and monthly operational metrics, such as open orders, booked orders, and departmental throughput Working hours: 8:00 AM

Qualifications:
  • Team Leadership Experience:
    3 to 5 years of direct team lead or supervisory experience leading administrative, operational, or customer service teams required
  • Team Management:
    Proven track record of managing a team of at least 3 direct reports
  • Education:
    Associate's degree or equivalent vocational training in Business Administration or a related field preferred

Technical Skills:
Advanced proficiency in office machinery (copiers, scanners, phone systems) and office software (word processing, spreadsheet management, databases, and custom ERP/CRM tools)
Core Competencies:
  • Strong team leadership capabilities, business acumen, and knowledge of principles involved in resource allocation and personnel management
