This is a 10-month (44 weeks per year) position.Position Summary :
The Administrative Coordinator is a ten month position that reports to the Associate Vice President for Student Life and Dean of Wellness and supports all Health & Counseling Services, Recreation and Fitness Services and Accessibility Services. The Administrative Coordinator coordinates all office activities to ensure running operation of daily procedures, maintenance of confidential records and updating databases. Responsibilities include but are not limited to : Greet students and maintain a positive, welcoming office atmosphere. Point person for all students and visitors to the Wellness Center. Schedule and verify patient appointments. Triage for health and counseling while checking patients in using different databases to alert providers to patient arrival. Manage the complex schedule of the Associate Vice President for Student Life and Dean of Wellness with an awareness of priorities and needs. Provide assistance as requested to providers. Support Associate Vice President for Student Life and Dean of Wellness in collection and verification of student immunizations. Train and help supervise the graduate assistant to plan duties and projects; as well as track and monitor hours. Open office daily; secure all files and doors in the Wellness Center at the end of day. Maintain office equipment Copy/fax student charts as requested by practitioners, maintaining NYS medical record law requirements (HIPAA/FERPA) (e.g. proper release of information requests, fax log, etc). Pick up and distribute mail and packages both incoming and outgoing. Function as point person for general maintenance for Wellness Center staff. Prepare student records requests according to NY Medical Record laws, including immunizations and medical records for students both current and previous (archived) with proper release information. Track and prepare statistics for Wellness Services. Prepare ledgers, perform cash transactions, bill student accounts for services performed and submit insurance claims and questions. Monitor lab pickup for specimens (when needed). Actively contributes, participates and supports Thrive programming and initiatives Act as point person and direct students in need of care when practitioner is not available or not here (i.e. ER or local clinic) prepare and secure transportation (i.e. Uber or ambulance). Contact Public Safety when warranted. Order and inventory supplies for Wellness Services. Prepare and update price lists and service offerings(in consultation with providers/AVP) Perform general office procedures such as word processing, photocopying, file management, faxing, answering phones, and processing incoming mail. Assist with college special events and programs Provide assistance to other Wellness Center as necessary. Perform other duties as assigned by the Associate Vice President for Student Life and Dean of Wellness. The estimated wage is $17.50 per hour for 37.5 hours per week for 44 weeks.Requirements:
High school degree required Two years of office experience or secretarial experience recommended Proficiency in word processing and Microsoft Office products or Google Suite Ability to work on multiple tasks Proven ability to work with diverse constituents in a collaborative way and capable of maintaining a high level of confidentialityAdditional Information:
