This position plays a key role in strengthening office systems, supporting board and executive functions, managing records, assisting with communications, and helping maintain efficient daily operations for a nonprofit serving seniors and adults with disabilities.

Norman, Oklahoma About the Role The Executive Administrative Coordinator serves as a trusted administrative partner to the Executive Director. This role is ideal for someone who enjoys executive support, organization, technology, communication, and nonprofit operations. The successful candidate will help manage calendars, documents, records, reporting, board materials, communications, and digital systems while maintaining a high level of confidentiality and professionalism. Key Responsibilities Manage the Executive Director's calendar, meetings, appointments, administrative priorities, and follow-up items. Draft correspondence, reports, letters, presentations, meeting materials, and organizational documents. Prepare and organize board meeting packets, minutes, rosters, records, votes, and follow-up documentation. Maintain confidential executive, board, participant, donor, volunteer, and organizational records. Answer and route calls, welcome visitors, process mail, coordinate filing, and support general office operations. Assist with grant documentation, donor and sponsor correspondence, event communication, and administrative reporting. Maintain databases, track attendance and organizational statistics, and support data collection for reporting needs. Provide administrative financial support, including payment documentation, deposit preparation, invoice tracking, petty cash documentation, and financial filing. Assist with newsletters, flyers, email campaigns, social media scheduling, contact lists, and outreach materials. Support Microsoft 365, SharePoint, OneDrive, Teams, electronic filing, workflow improvement, and basic technology administration as directed. Required Qualifications High School Diploma or GED required. Three years of executive administrative, office management, or administrative support experience. Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, OneDrive, and SharePoint. Excellent written and verbal communication skills. Strong organization, time-management, and follow-through skills. Ability to maintain confidentiality and handle sensitive information appropriately. Ability to work independently, manage multiple priorities, and support a fast-paced nonprofit environment. Successful completion of required background check screening. Completion of required TB testing in accordance with organizational policy and applicable health requirements. Preferred Qualifications Associate degree in Business Administration, Office Management, Communications, Healthcare Administration, Nonprofit Management, or related field. Experience supporting executive leadership. Experience in nonprofit, healthcare, aging services, adult day services, or social services environments. Experience with databases, reporting systems, Microsoft 365 cloud environments, CRM or donor management software, Canva, Microsoft Forms, Power Automate, Power Apps, Planner, Bookings, Azure, or Microsoft Entra ID. Preferred certifications include Microsoft Office Specialist, Microsoft 365 Fundamentals, Microsoft Azure Fundamentals, Microsoft Power Platform Fundamentals, or Certified Administrative Professional. Training Requirements The selected candidate must complete Maltreatment Training, Food Handler Training, and CPR/First Aid Training within 90 days of hire. Benefits Employer-sponsored health insurance may be available for eligible regular full-time employees after 60 days, subject to plan availability and carrier requirements. Dental and vision insurance options may be available through payroll deduction at the employee's expense.
