Collections Specialist

Job Description

Position Summary We are seeking a motivated, organized, and results-driven Collections Specialist to join our rental management team. The Collections Specialist is responsible for overseeing the collection of delinquent rent payments, maintaining positive tenant relationships, ensuring compliance with company policies and applicable laws, and minimizing outstanding accounts while supporting occupancy and resident retention. Key Responsibilities Monitor tenant accounts to identify past-due balances and collection trends. Contact tenants regarding delinquent accounts through phone calls, emails, text messages, and written notices. Negotiate payment arrangements and monitor compliance with agreed payment plans. Maintain accurate records of all collection activities and tenant communications. Prepare accounts for eviction proceedings or third-party collections when necessary. Ensure compliance with federal, state, and local landlord-tenant laws and company policies. Generate weekly and monthly accounts receivable and collections reports. Work collaboratively with leasing, accounting, and property management teams to reduce delinquency rates. Respond professionally to tenant questions regarding balances, payments, and account history. Recommend process improvements to increase collection efficiency and customer service. File evictions and follow them out with Qualifications High school diploma or equivalent required; Associate's or Bachelor's degree preferred. 2+ years of collections, property management, accounts receivable, or related experience preferred. Experience in residential or commercial rental/property management is a plus. Strong communication and conflict-resolution skills. Excellent organizational and time management abilities. Ability to handle difficult conversations professionally and respectfully. Proficiency in Microsoft Office and property management software (such as AppFolio, Buildium, Yardi, Rent Manager, or similar). Strong attention to detail and confidentiality. Valid driver's license may be required for occasional property visits. Preferred Skills Knowledge of Fair Debt Collection practices and landlord-tenant regulations. Ability to analyze financial reports and aging accounts. Strong negotiation and problem-solving skills. Customer service mindset with the ability to maintain professionalism under pressure.
