Job Description

We are looking for a motivated and detail-oriented Service Billing Specialist / Administrative Assistant to join our team and support the administrative, billing, and financial functions that help drive successful service operations and project execution. The ideal candidate will thrive in a fast-paced construction and mechanical services environment, possess strong organizational and problem-solving skills, and demonstrate the ability to manage multiple priorities while maintaining accuracy and attention to detail. Duties:
Prepare and process customer invoices accurately and in a timely manner for service and construction-related work. Communicate professionally with customers regarding billing inquiries, service requests, and project-related matters. Assist with the administration of contracts, subcontracts, and project documentation. Prepare, track, and process change orders. Maintain accurate records and support reporting requirements. Provide administrative support to Service Managers, Technicians, and project personnel. Collaborate with internal departments to ensure efficient workflow, project support, and customer satisfaction.
Skills & Experience:
High school diploma or equivalent required; additional business or accounting education is a plus. Previous experience in construction, mechanical contracting, service operations, or a related industry is preferred. Experience with Sage Software is preferred but not required.
Requirements:
Strong organizational, time management, and multitasking abilities. Excellent verbal and written communication skills. Detail-oriented with a commitment to accuracy and customer service. Proficiency in Microsoft Office Suite, including Excel and Word. Ability to work independently while contributing positively to a team environment
