Payroll & Billing Assistant

Job Description

We are seeking an experienced, detail-oriented Payroll & Billing Specialist to join our Accounting team. This position plays a critical role in ensuring the accuracy and integrity of the company's payroll and billing functions. The ideal candidate is a self-motivated accounting professional with strong technical skills, exceptional attention to detail, and the ability to work independently while collaborating effectively with internal staff and external clients and vendors. Essential Responsibilities Payroll Administration Process bi-weekly payroll accurately and timely using Paycor. Review employee time records, labor allocations, and expense reimbursements to ensure compliance with company policies and project requirements. Prepare payroll worksheets, reconcile payroll reports, and balance payroll prior to processing. Administer appropriate payroll deductions, including garnishments, benefits, child support and 401(k) contributions. Maintain payroll records and ensure compliance with federal, state, and local regulations. Billing Prepare and distribute accurate monthly invoices based on individual client contracts. Review project budgets, billing information, and supporting documentation for accuracy. Qualifications Minimum of 2 years of payroll and/or billing experience. Demonstrated experience processing payroll for multiple employees with a high degree of accuracy. Experience working in professional services, engineering, architecture, or consulting environment is preferred. Ability to prioritize multiple responsibilities and consistently meet deadlines. Strong verbal and written communication skills. High level of integrity and discretion when handling confidential financial and payroll information. Proficient in Microsoft Office, with strong Microsoft Excel skills. Experience with cost accounting software. Experience with HRIS payroll processing software preferred. Education Associate's in Business Administration, or a related field preferred. Equivalent combination of education and relevant payroll experience will be considered.
